Dinsmore is seeking a Hospitality Coordinator at our Cincinnati, OH location who will be responsible for engaging all Clients, Guests, and Vendors to ensure they have a memorable experience while visiting the Dinsmore Conference Floor. Ensures that all meeting rooms and public areas of the Conference Floor are maintained to the highest level of professional appearance and that all meeting requirements are met prior to the meeting start time.

Requirements

  • High school diploma required; degree in hospitality or related field a plus
  • 2–3+ years of hospitality, event planning, or client services experience
  • Experience in law firm or corporate environment preferred
  • Clear verbal and written communication skills
  • Strong customer service orientation with tact and professionalism
  • Ability to multitask, prioritize work, and stay organized in a fast-paced environment
  • Proficiency in Microsoft Office (Outlook, Word, Excel) and basic office software
  • Familiarity with event planning or scheduling tools is a plus
  • Experience with catering orders, meeting setup, and event logistics

Responsibilities

  • Monitor Conference Room Reservations daily; manage room set up proactively by reaching out to responsible booking party to ensure facility resources are maximized
  • Coordinate and monitor meeting/event timelines and ensure setup deadlines are met
  • Conduct room inspections prior to each meeting/function to ensure the room is set up according to specifications
  • Coordinate the overall meal/drink setup and refresh for all events and meetings on 19th floor; manage the clean up as necessary
  • Solve problems and/or suggest alternatives if necessary to ensure the best client service
  • Handle miscellaneous requests for assistance from Clients, Dinsmore Attorneys & Staff
  • Establish consistent standards for greeting clients, checking in and escorting to conference room
  • Serve as a Concierge to our clients by providing necessary copy or print services taxi/car service/public transportation assistance storage assistance luggage, brief cases etc. Cincinnati Visitor Guides w/ maps & directions restaurant suggestions along with reservation services
  • Ensure Conference rooms are cleaned and stocked with supplies
  • Stock and Clean Kitchens on 19th floor
  • Notify Facilities team of any necessary maintenance or repairs necessary on 19th floor, including appliances, furniture, to ensure quality conference center.
  • Act as backup receptionist when necessary
  • When asked, help develop menus, as well as organize all other ordering arrangements as they relate to client meeting and social/firm events held on the 19th floor
  • Keep up with knowledge of industry trends (catering, restaurants, beverages, specialty events and party planning)
  • Coordinate details of large client events in community room, serve as the point of contact to help clients with room set up, catering options, check in procedures etc.
  • Assist with preparing budgets and provide periodic progress reports to manager
  • Keep track of finances including check requests, invoicing and reporting
  • Develop a thorough understanding of the firm’s emergency procedures and be prepared to carry out the designated tasks in the event of an emergency
