About The Position

Hospitality Coordinator Palo Alto, CA (Onsite) 4+Month (Temp to Perm) Mon-Fri, 9am -6pm Qualifications Provide comprehensive on-site operational support within a legal office environment. This role supports high-volume document services, office operations, and executive-level customer service. Requires strong hospitality skills, flexibility, attention to detail, and the ability to handle confidential, time-sensitive materials in a fast-paced setting.

Requirements

  • High school diploma or GED
  • 1–2 years of related work experience; minimum 2 years in a legal environment highly desired
  • Strong hospitality mindset with excellent customer service, communication, and interpersonal skills
  • Ability to multitask, manage time effectively, and adjust to changing priorities
  • Ability to work independently and collaboratively; takes initiative and is willing to learn
  • Ability to stand and walk for extended periods; lift up to 50 lbs
  • Knowledge of copier equipment, document services, and basic electronics preferred
  • Experience with shipping/receiving procedures and mail distribution
  • Ability to troubleshoot equipment and read technical manuals
  • Comfortable using office equipment including copiers, scanners, fax machines, postage meters, bindery tools, and PCs
  • Strong attention to detail and commitment to quality and confidentiality
  • Valid driver’s license and insurance may be required
  • Availability for a 9am–6pm shift; occasional overtime as needed

Responsibilities

  • Operate high-volume copy, scanning, printing, binding, finishing, and duplicating equipment
  • Perform copier inspections, clear jams, perform maintenance/repairs, and report technical issues
  • Handle highly sensitive and confidential legal documents with accuracy and urgency
  • Sort, distribute, ship, and receive mail, packages, faxes, and office supplies; apply postage
  • Maintain daily meter logs, service logs, inventories, billing logs, and management records
  • Perform filing, archiving, purging, scanning, file conversion, OCR, file naming, FTP transfers, and formatting
  • Manage electronic files, including TOC creation and document preparation for printing
  • Respond to and coordinate customer service requests; answer job status and feasibility questions
  • Deliver completed jobs within and between buildings as required
  • Maintain copier areas and workspaces to be neat, stocked, and organized
  • Support meeting and conference room setups and building occupant moves
  • Perform light maintenance, re-lamping, housekeeping, and occasional cleaning duties
  • Assist with off-site project coordination as needed
  • Provide professional, high-touch support to legal secretaries, paralegals, associates, partners, and executives
  • Work under tight deadlines and high-pressure situations
  • May require overtime, nights, weekends, or emergency response
  • Perform other duties as assigned
