About The Position

St. Mary's General Hospital, located in Passaic, NJ, is a community-based tertiary medical center focused on providing quality, compassionate care. It offers a broad range of services including cardiovascular services, a comprehensive program for cancer care, and is a center of excellence for maternal-child health and outpatient behavioral health services. As the only hospital in Passaic, with over 550 physicians and 1,000 employees, it is one of the largest employers in the county. The Health Information Tech II assists physicians and other medical personnel in achieving timely, accurate, and complete documentation practices. This role involves analyzing assembled medical records for chart completion deficiencies in accordance with regulatory requirements and Medical Staff Rules and Regulations. The Tech II assigns these deficiencies to the appropriate medical staff members, tracks them, and notifies staff, holding them accountable for completion. They also assist medical staff in their chart completion efforts and initiate the suspension process if records are not completed timely. Upon documentation updates, the Tech II reviews and clears deficiencies. Additionally, the Tech II is responsible for answering telephone calls and assisting visitors while maintaining confidentiality, and supports the department with other assigned duties.

Requirements

  • Minimum one year health information management experience in acute care setting.
  • Accurate alphabetic, numeric, and/or terminal-digit filing skills.
  • High School Diploma or equivalent.

Nice To Haves

  • Knowledge of terminal digit filing and medical terminology.
  • Knowledge of State and Federal regulatory requirements for medical staff documentation.
  • Computer data entry with 10-key, with accurate typing speed of 35 wpm.
  • Completion of a medical terminology course.
  • Background in business and office training.

Responsibilities

  • Assists physicians and other medical personnel in achieving timely, accurate, and complete documentation practices.
  • Analyzes the assembled record for chart completion deficiencies, in accordance with regulatory requirements and Medical Staff Rules and Regulations.
  • Assigns deficiencies to the appropriate medical staff member, and data entered for tracking and monitoring purposes.
  • Notifies Medical Staff members, and holds them accountable for these chart completion items.
  • Assists the medical staff member in their chart completion effort.
  • Carries out the suspension process if the medical staff member does not complete their records in a timely manner.
  • Reviews documentation and updates or clears deficiencies as appropriate once the medical staff member addresses their documentation deficiencies or upon addition of a document to the analyzed record.
  • Answers telephone calls and assists visitors (including but not limited to physicians, patients, and their family members), while maintaining confidentiality.
  • Supports the department needs through assistance in any of the Tech I, Release of Information, or other duties as assigned.
