About The Position

The Health Information Management (HIM) Supervisor is responsible for overseeing the HIM Department's daily operations, safeguarding patient health records, and ensuring compliance with federal, state, and clinic regulations. This role manages health information systems to ensure data accuracy, security, and accessibility. The HIM Supervisor serves as the HIPAA Privacy Officer and acts as a key liaison among patients, providers, staff, and third parties.

Requirements

  • Thorough knowledge of health information management principles, practices, and regulatory requirements (HIPAA, Privacy Act, EMTALA, FOIA, CMS, etc.).
  • Proficient in ICD-10, CPT, and HCPCS coding; familiar with CMS documentation and payer requirements (Medicare, Medicaid, SCHIP, etc.).
  • Skilled in using electronic health record (EHR) systems such as RPMS, Cerner, and other platforms.
  • Strong analytical, organizational, communication, and problem-solving abilities.
  • Effective leadership and supervisory experience, including team management and evaluation (minimum 3 years).
  • Understanding of current healthcare trends and impacts on tribal and rural healthcare delivery.
  • Minimum Associate's degree in HIM, Healthcare Administration, Business Administration or Information Science with a concentration in HIM; Progressively working towards a Bachelor's degree.
  • Must pass pre-employment drug screening.
  • Successfully pass the employment background check.

Responsibilities

  • Supervise and support the HIM team, ensuring workflow efficiency and quality.
  • Develop, implement, and monitor HIM policies, procedures, and objectives in compliance with applicable laws and standards (HIPAA, CMS, JCAHO, etc.).
  • Conduct regular audits to verify data accuracy, system integrity, and regulatory compliance.
  • Manage the release of information in accordance with privacy laws, clinic policies, and legal requirements.
  • Analyze health data to identify trends, inefficiencies, or compliance issues; recommend improvements.
  • Coordinate with providers and staff to promote best practices in documentation and data entry.
  • Oversee and evaluate staff performance, training, and development.
  • Monitor and recommend updates to HIM systems, software, and data management processes.
  • Assist with budget planning and departmental reporting.
  • Report and document breaches or unauthorized access to patient data as required.
  • Serve as the clinic's HIPAA Coordinator and maintain responsibility for privacy and security protocols.
  • Prepare and release information on treatment, discharges, and deaths in accordance with regulations.
