About The Position

The Hillside Kids Administrative Assistant will support the Hillside Kids Ministry through excellent administrative, organizational, and communication support while contributing to a healthy and effective ministry team. This role helps ensure the smooth operation of Hillside Kids by maintaining accurate records, assisting volunteers and families, organizing materials, and supporting ministry initiatives in alignment with Hillside’s mission and values.

Requirements

  • Demonstrates a maturing relationship with Jesus Christ and embodies the culture/values of Hillside (Galatians 5:22–23).
  • Must be a member of Hillside Fellowship or willing to pursue membership.
  • High school diploma required; Bachelor’s degree preferred.
  • A minimum of 1 year of administrative experience is required; 3 years is preferred.
  • Excellent interpersonal, written, and verbal communication skills.
  • Highly organized, detail-oriented, and able to manage multiple tasks effectively.
  • Demonstrates sound judgment, confidentiality, and adherence to safety protocols.
  • Strong work ethic and proficiency in administrative tasks.
  • Proficient with email, spreadsheets, scheduling, and general computer literacy.
  • Ability to work weekends and occasional holidays.
  • A team player with a servant’s heart and a desire to build community.
  • Ability to pass a background check is required.

Nice To Haves

  • Experience with Asana, Community Church Builder, Microsoft Office, Excel, Mailchimp, GroupMe, and related tools is preferred.

Responsibilities

  • Prepare, update, print, sort, and distribute curriculum and relevant materials for weekend services and mid-week ministry.
  • Maintain and organize digital and physical records, including attendance, volunteer information, and ministry documentation.
  • Create and maintain the Hillside Kids database (families and volunteers) utilizing Hillside’s content management systems and communication platforms.
  • Assist in the onboarding and assimilation process for new volunteers according to the process outlined by the Hillside Kids Lead.
  • Manage ministry emails and handle communication needs with professionalism and clarity, in a way that embodies Hillside's mission, vision, and core values.
  • Gather information and assist in compiling monthly newsletter content.
  • Collaborate with Hillside staff and ministry teams to support cohesive, mission-aligned experiences for children and families across the church.
  • Support the Hillside Kids Team Lead with special projects and ongoing ministry initiatives.
  • Work closely with the Hillside Kids Lead to maintain up-to-date guidelines and procedures for Hillside Kids, including volunteer guidelines, emergency response protocols, and the Hillside Kids playbook.
  • Maintain current updates in ministry calendars, communication systems, and planning tools.
  • Serve consistently in a Hillside Kids role during weekend services as assigned.
  • Schedule ministry caregivers for mid-week ministry and assist with volunteer scheduling needs as directed.
  • Support administrative tasks related to document creation, supply inventory, and organization of the Hillside Kids resource room.
  • Attend all staff meetings, staff trainings, and Hillside Kids events as required.
  • Perform additional duties and responsibilities as directed by the Hillside Kids Lead.
