About The Position

Administrative Assistants provide various support roles to the Division of Child Support (DCS) Case Management Specialists, Digital Fingerprinting Site Support Specialists, and DCS Federal Staff. They all answer phones; receive, log, and sort mail; send, receive, and sort faxes; file and purge case records; and monitor resource mailboxes. They also support the Case Management Specialists by opening and closing cases, as well as evaluating various database searches for potential sponsor information should the need arise. This Ready Reserve position involves a comprehensive hiring process, including interviews with both PSI and the specific Program Manager or Team Lead, along with a background check and drug screen for Protection Strategies, Inc. Successful candidates will be placed on a Ready Reserve List and considered for placement as vacancies arise. There is not an open position at this time.

Requirements

  • Education at the High School level and/or equal work experience
  • 3-5 years of experience working in program assistant and/or administrative capacity
  • Must be proficient in Microsoft Office Suite software (Word, Excel, and Outlook).
  • Demonstrated attention to detail
  • Excellent organization skills and the ability to multi-task
  • Ability to work independently and with minimal supervision
  • Proficient written and verbal communication skills
  • Coordination of work activities with other persons and group

Nice To Haves

  • Preference for familiarity with Spanish and/or willingness to learn

Responsibilities

  • Answers phones; receives, logs, and sorts mail
  • Sends, receives, and sorts incoming faxes
  • Files and purges case records and storerooms
  • Assists in monitoring of resources mailboxes, and assigns cases to respective Case Management Specialist as appropriate
  • Oversee day-to-day administrative functions of DCS and assist in the areas of logistics, office supply inventory and ordering
  • Serves as point of contact for DCS customers, including but not limited to OPM, ACF and/or ACF designees, potential sponsors, and other DCS employees
  • Serves as support to Case Management Specialists (Junior and Senior) in opening and/or closing cases
  • Preference for familiarity with Spanish and/or willingness to learn
  • Must be sensitive to other cultures and ethnic groups
