Healthyhorns is the umbrella brand encompassing University Health Services, Counseling and Mental Health Center and Longhorn Wellness Center. Together, the departments work to enhance the health and well-being of students’ bodies, minds and lives in support of their academic and personal goals. University Health Services (UHS) is an accredited on-campus medical facility dedicated to addressing the varied healthcare needs of UT Austin students. UHS provides comprehensive services, including general medical care, public health education and specialty clinics. Counseling and Mental Health Center (CMHC) is an accredited on-campus mental health facility dedicated to supporting the well-being of UT Austin students. CMHC offers a range of services, including assessment and referral, group and individual counseling, psychiatry and well-being services. The Longhorn Wellness Center is the health promotion unit servicing University Health Services and Counseling and Mental Health Center. Staff focuses on educating students about priority college health issues by hosting workshops and events, creating new tools, and collaborating with the campus community to enhance overall well-being. The Senior Administrative Associate supports the operations of Health and Well-being Shared Services by providing administrative assistance to both Strategic Initiatives and Business Services. This position delivers high-level support to Directors within the Shared Service Areas, manages the 5th floor Shared Services Office through effective office management, assists with event coordination, and oversees purchasing activities, ensuring the team functions smoothly and efficiently.

Requirements

  • High school diploma or GED with seven (7) year related work experience
  • Excellent communication and customer service skills
  • Working knowledge of the Microsoft suite of software (Word, Excel, Outlook, PowerPoint, etc.)
  • Ability to solve problems with little guidance
  • Relevant education and experience may be substituted as appropriate.

Nice To Haves

  • Three (3) years related work experience with a Bachelor's Degree
  • Excellent interpersonal and communication skills
  • Outstanding organizational skills and ability to manage multiple complex job duties and project-based work.
  • High level organizational skills.
  • Proven ability to work independently and manage workflows/projects.
  • Familiarity with university systems (Define, FRMS, Workday, etc.) and cost center coding
  • Experience with Microsoft Outlook, Microsoft Copilot, Microsoft OneDrive, Box, etc.
  • One (1) year experience supervising staff

Responsibilities

  • Administrative Support to Directors Provides high‑level support to designated Directors through complex calendar management, meeting preparation, recruitment assistance, listserv management, and drafting communications. Contributes to Shared Services projects and supports communications, business, and data teams as needed.
  • Event Planning & Support Assists with planning and day‑of coordination for major Health and Well-being and Healthyhorns events throughout the year.
  • Purchasing & Financial Coordination Oversees purchasing processes, including event paperwork, food orders, vendor payments, reimbursements, and financial tracking. Maintains accurate purchasing records and supports professional development reimbursement workflows.
  • Office & Space Management Supports daily operations of the 5th Floor Administrative Suite by coordinating space needs, maintaining inventory and organization, training staff on office procedures, managing room reservations, and overseeing front‑office functions.
  • Student Employee Supervision May supervise administrative student assistants by recruiting, hiring, training, scheduling, and developing workflow processes. Coordinates with units on student hiring and HR documentation.
  • Other responsibilities as needed and assigned.
