The Operations Manager for the Health and Performance team is a key on-site role reporting directly to the Director of Health and Performance. This position is responsible for overseeing daily operations of the front desk and medical office functions, ensuring a high level of service, efficiency, and compliance. The Operations Manager leads and supports front desk staff, coordinates guest experiences, maintains accurate records, and oversees essential compliance and administrative activities. Serving as a central point of coordination, this role collaborates closely with Health and Performance staff, cross property departments, and leadership to support seamless operations and an exceptional guest experience. Strong organizational skills, attention to detail, and the ability to manage multiple priorities in a dynamic environment are essential for success.

Requirements

  • To be successful, you must have prior knowledge of position/industry (3-5 years previous experience in same or related field).
  • A High School diploma is required
  • CPR/AED certified within 90 days of employment.

Responsibilities

  • Manages medical records in conjunction with Medical office staff to ensure compliance with governing regulations. Ensures guest records are complete and accurate. Responds to medical records requests to insurance companies, attorneys, other health care providers and the guest. Follows release of information guidelines and standards as per Canyon Ranch policies and procedures.
  • Direct management of PAC and Vitality staff including: select, hire, train, schedule, counsel, terminate and conduct performance reviews, including related payroll responsibilities. Adjusts availability of staff when needed, due to house counts, illness, vacations, etc. Approves and ensures accuracy of payroll time cards in a timely manner. Approves PTO and shift changes, manages availability and ensures optimum availability to meet demand. Ensures that guest receive the highest quality professional services.
  • Streamlining and reviewing the day-to-day operations for process improvements. Maintaining, reviewing, and implementing policies and standard operating procedures. Responsible for following the division budget and provide support for departmental budgets, as needed. Keeps track of on property IT and engineering requests to ensure completion in a timely manner. Assists in preparation of operations budgets to include support of monthly analysis in all areas and is knowledgeable in daily activities of such areas.
  • Direct oversight of Outpatient Treatment Center licensure maintenance according to the Arizona Department of Health Services and Arizona Administrative Code. Serves as main contact person for unannounced inspections. Responsible for state and federal compliance standards for all H&P provider virtual sessions. Assists with medical chart audits on a monthly basis. Ensures all compliance standards (CPR/First Aid, HIPPA, Fire Safety, etc)
  • Serves as the Health & Performance Manager on Duty as needed and ensures all guest issues are properly handled and requests are accommodated expediently and courteously. Informs upper management team of any unresolved incidents or issues that occurred during the shift.
  • Works closely with other Canyon Ranch departments including but not limited to Facilities, Accounting, Revenue Management, Functions, Reservations, Program Advising as needed.
  • Oversees PAC and Vitality schedules to ensure coverage. Manages physician and Acupuncture schedule creation and audit, to include implementing the schedule in Book4Time. Coordinates with doctors, nurses, guests, and other Medical departments while scheduling appointments by phone and in person. Implements complex scheduling adjustments to meet changing needs of providers and guests, especially in the event of provider cancellations.
  • Responsible for managing inventory of all H&P related retail and non-retail items including ordering of retail items as well as medical office supplies. Responsible for auditing all itemized bills, authorizations of release, and service charges
