The Health Information Operations Supervisor leads, trains, and supervises staff to ensure accurate, compliant, and efficient handling of patient records and data. They oversee daily HIM operations, to include release of information, scanning, and vital statistics—while enforcing regulatory compliance, resolving workflow issues, and optimizing service quality for internal and external stakeholders. Manages: Release of Information, Record Processing, Vital Statistics Education/Training Associate's or Bachelor's degree in Health Information Licenses/Certification: RHIA (Registered Health Information Administrator) or RHIT (Registered Health Information Technician). Required Qualifications and Skills: Minimum of 5 years’ experience Working in a Health Information Department. Ability to work independently. Ability to train employees and maintain competencies Experience with customer service Experience leading team of employees Ensuring adherence to regulatory standards, privacy laws and internal policies Experience with EHR and medical terminology Strong leadership and communication skills Preferred Qualifications and Skills: Experience with Cerner Supervisory HIM related experience Essential Job Functions: Responsible for the daily workflow of the HIM Department, overseeing HIM Operations staff and processes including record completion, analysis, release of information, prepping, scanning, indexing, quality control (Record Processing), vital statistics and ensuring data accuracy, integrity, and HIPAA compliance for patient health records. Prioritizes work assignments related to record analysis, prepping, scanning, indexing, quality control, vital statistics and release of information. Responsible for monitoring performance ensuring efficient workflow and employee feedback. Monitors quality and quantity of work for staff working in HIM Operations with monthly feedback to employees. Assists Operation Manager by drafting policies and procedures. Responsible for monitoring performance ensuring an efficient workflow and employee feedback. Monitors quality and quantity of work for staff working in HIM Operations with monthly feedback to employees. Assists Operation Manager by drafting policies and procedures. Proactively provides coverage across all Health Information Management (HIM) functions, ensuring timely workflow completion and preventing backlogs without the need for direction. Serves as the point of contact for matters related to HIM Operations. Cross-trains staff in accordance with departmental procedures and follows up to ensure training effectiveness. Meets and exceeds performance standards. Reviews and addresses the provider refusal work queues. Completes annual evaluations for staff working in HIM Operations. Processes all SDP tickets related to duplicate medical record numbers and document related issues. Tracks and maintains delinquency statistics, generating reports on incomplete records, and escalating concerns to HIM leadership and Medical Staff Office. Completes Advance Directives, Moon, IMM audit and reports results to Case Management. Reviews all HIM related DNFB holds and follows action plan to facilitate record completion. Processes timecards for HIM Operations. Processes paperwork for DRG Appeals Strong proficiency in EMR systems, Microsoft Office Suite, and data management software. Proven experience in supervising staff, team building, and performance management. Excellent verbal and written communication skills to interact with medical professionals and staff. Comprehensive knowledge of medical terminology, medical records administration, and data privacy laws. High accuracy in handling patient data. Ability to function under pressure and adapt to changes in technology or procedures. Independent problem-solving abilities. Ability to analyze workflows and data trends.
