About The Position

West Anaheim Medical Center, a member of Prime Healthcare, is an award-winning 219-bed acute-care hospital providing high-quality, compassionate healthcare including general medical and surgical inpatient care, emergency services, surgical services, behavioral health, a comprehensive heart center, and diagnostic imaging. The Health Informatics Coordinator I, under the general direction of the Manager/Director of Health Informatics, is responsible for accessing, inputting, and retrieving information, and solving problems using various computer systems. This role involves verifying and ensuring the receipt, preparation, scanning, and indexing of all medical records upon patient discharge. The coordinator acts as a liaison for physician offices and hospital staff, assisting medical personnel in achieving timely, accurate, and complete documentation. They analyze medical records for chart completion deficiencies according to regulatory requirements and Medical Staff Rules and Regulations, and assist medical staff with chart completion efforts, including the suspension process for incomplete records. The position also coordinates workflow on EHR systems, performs quality monitoring to improve EHR integrity, and provides customer service by answering calls and assisting visitors while maintaining confidentiality. Additionally, the coordinator assists with Release of Medical records, Cancer Registry reporting, Birth Certification for newborns, and tracking Newborn Screening samples and results, and supports the department with analysis and other assigned duties.

Requirements

  • Minimum One year HIM experience in acute care setting
  • Accurate alphabetic, numeric, and/or terminal-digit filing skills
  • Working knowledge of medical terminology
  • Knowledge of the State and Federal Regulatory requirements for medical staff documentation
  • Knowledge of the State and Federal Regulatory requirements for HIPAA Privacy and Security
  • Demonstration of ability to operate a computer, multiple software applications, and other office equipment as necessary
  • High School diploma or equivalent

Nice To Haves

  • Experience in EHR platforms and software
  • Experience with training in an EHR and/or documentation-related applications
  • Knowledge of clinical informatics

Responsibilities

  • Accesses, inputs, and retrieves information, and solves problems using various computer systems
  • Verify and ensure receipt of all medical records upon patient’s discharge
  • Prep, scan and index medical records
  • Acts as the liaison for physician offices and other hospital staff
  • Assists physicians and other medical personnel in achieving timely, accurate, and complete documentation
  • Analyzes the medical record for chart completion deficiencies, in accordance with regulatory requirements and Medical Staff Rules and Regulations
  • Assists medical staff member in their chart completion effort
  • Helps with the suspension process if the medical staff member does not complete their records in a timely manner
  • Coordinates workflow on the EHR systems and processes
  • Performs quality monitoring and participates in activities to improve outcomes for the integrity of the electronic health record (EHR)
  • Answers telephone calls and assists visitors (including but not limited to physicians, patients, and their family members), while maintaining confidentiality
  • Assists with Release of Medical records
  • Assists with Cancer Registry reporting
  • Assists with Birth Certification process for newborns
  • Assists with Tracking of Newborn Screening samples and results
  • Supports the department needs through assistance in any of analysis, Release of Information, or other duties as assigned
