About The Position

Planned Parenthood Great Plains (PPGP) seeks a full-time Health Center Manager for this 21st century health care provider and advocacy organization dedicated to upholding the standard for providing high quality sexual and reproductive health care, providing education that promotes informed proud and authentic sexuality, and changing the culture through proactive advocacy to ensure equality in reproductive and sexual decision making. The Health Center Manager works collaboratively with the Nurse Practitioner and Director of Health Center Operations to achieve high patient satisfaction and clinic productivity. The Health Center Manager assures the success of the agency through effective management of personnel, budgets and information systems. The Health Center Manager manages and supervises clinic operations, achieving high patient satisfaction and clinic productivity and assuring compliance with policies and procedures. The Health Center Manager ensures accurate and timely billing of patients and collections; understands basic principles of managed care contracts; compiles financial data and other statistical reports required by guidelines or requested by management. The Health Center Manager is responsible for daily reconciling, cash handling and bank deposits. For the protection of patients, team members and all who enter our facilities, PPGP has made the decision to require COVID-19 vaccination for all team members, unless granted medical or religious exemption, as a condition of employment.

Requirements

  • Bachelor’s Degree (B.A.) from a four-year college or university; or one to two years related experience and/or training, familiarity with medical terminology, demonstrated ability in leading, motivating, and managing staff, experience with high-volume transaction medical or clinical practice environments in which customer service and satisfaction are priorities, or equivalent combination of education and experience.
  • Three to five years administrative experience in an Ambulatory Surgical Center or Reproductive Health Services Clinic, hospital or other related clinical setting, and a minimum of three years supervisory experience is required.

Responsibilities

  • Supervises all Family Planning functions and staff.
  • Monitors clinic flow and strive to maximize efficiencies and productivity.
  • Integrates front office operations with the patient service areas.
  • Ensures accurate completion of clinic visit records and coordinate documentation.
  • Responsible for the initiation and implementation of new processes and services including service delivery enhancements
  • Assures staff and company compliance with all local, state and federal laws and regulations relating to family planning services.
  • Completes monthly chart audits and turned in to the Director of Quality and Risk Management by close of business Friday, the first week of the following month. Audits must reflect action plans appropriate for findings. At least 90% compliance must be maintained.
  • Assures that the Director and appropriate Risk Management and Medical Management teams are aware of potential Incident and/or Occurrence Reports.
  • Achieves clinic goals and objectives including financial, customer service and productivity.
  • Hires, coaches, evaluates and terminates family planning and administrative and staff.
  • Schedules staff to ensure adequate coverage in all clinic areas.
  • Performs multiple clinic functions in case of staffing shortages.
  • Assures that staff is adequately trained according to PPFA and PPGP guidelines.
  • Works proactively to minimize patient wait time.
  • Ensures the highest level of Customer Service by regularly monitoring and measuring outcomes.
  • Responds to question from patients and insurance companies regarding patient visits and billing.
  • Responds to patient/client concerns and take remedial action when appropriate.
  • Verifies patient insurance benefits and assist with filing and processing.
  • Assesses and addresses patient complaints and provide appropriate referrals including but not limited to knowing when to escalate complaints within the organization and to whom.
  • Oversees cash handling protocol, clinic closing and deposits, ensuring accuracy for daily deposits.
  • Generates end of month reports.
  • Assures appropriate maintenance of the clinic and facility.
  • Monitors inventory of clinic supplies and medications and order as needed.
  • Creates and maintains an atmosphere of teamwork and high staff morale.
  • Effectively models positive customer services and is responsive to client’s needs and concerns.
  • Works with the Vice President of Health Services to maximize revenue and Family Planning visits to ensure productivity standards are met.
  • Analyzes monthly financial reports and Family Planning statistical data along with the Vice President of Health Services.
  • Handles general information calls and other duties as assigned.
