About The Position

We are an operations infrastructure firm focused on solving operational chaos for clinical environments. Our high-touch system streamlines patient intake, triage, scheduling, and care coordination, allowing clinicians to focus on medicine. We implement proven AI-Ops systems and ensure they operate flawlessly, without providing marketing services. This is a dual-role position combining technical implementation and operational integration. You will be the lead engineer responsible for deploying our AI-Ops system into client clinics while also acting as the integrator to the founder. You will translate ideas into actionable systems, take ownership of implementations, and ensure client operations run smoothly. This hire is critical to freeing the founder’s bandwidth and setting the foundation for scaling a high-touch operations team.

Requirements

• Expert-level n8n or Make.com experience for workflow automation.
• Deep mastery of GoHighLevel (GHL) automation and database architecture.
• Experience with OpenAI API, Vapi, or custom LLM prompting.
• Ability to read and implement APIs for multiple software systems.
• Project management skills for tracking complex, multi-step implementations.
• Structured thinker who thrives in a dynamic, entrepreneurial environment.
• Independent and proactive; comfortable making decisions and managing priorities.
• Strong critical thinking; willing to push back when ideas are unrealistic.
• Comfortable in “play + build” scenarios, translating ideas into practical solutions.
• Collaborative and communicative, with excellent English proficiency.
• Goal-oriented and detail-focused, capable of completing installations without constant supervision.
• Eager to grow into a long-term operational leader who can eventually build and manage a team.

Nice To Haves

• Prior experience in clinical environments (doctors, chiropractors, dentists, functional medicine)
• LATAM-based candidates preferred (Mexico / South America) for time zone alignment and cultural compatibility.

Responsibilities

• Deploy and configure AI Agents (Voice & Text) for patient triage using Vapi, Air.ai, or similar platforms.
• Build deep system integrations between EMRs (e.g., DrChrono, Jane, Practice Better) and our operating system via n8n/Make webhooks.
• Automate adherence, retention, and no-show prevention protocols using multi-channel communications (SMS, Voice, Email).
• Own the “Install” and “Activate” phases of client projects, ensuring 90-day system installations are completed on schedule.
• Act as the founder’s integrator: take half-baked ideas and operationalize them, provide accountability, and challenge ideas constructively.
• Manage and document standard operating procedures for scalable deployment.
• Collaborate with the founder and potentially future team members to build long-term operational excellence.
• Maintain HIPAA compliance and handle patient data securely.
