About The Position

This is a foundational hire. PropertyPilot needs someone who can own the full spectrum of people operations and core business functions—HR, payroll, benefits, recruiting, and basic accounting (AP/AR)—as a team of one. You won't be managing a department; you'll be building one from the ground up while keeping the day-to-day running smoothly. At a startup, the person in this seat touches everything. You'll run payroll on Monday, screen engineering candidates on Tuesday, negotiate a benefits renewal on Wednesday, process vendor invoices on Thursday, and help onboard a new hire on Friday. Requirements

  • 5+ years of experience in HR, people operations, or office management, with direct ownership of payroll and benefits administration.
  • Hands-on experience with payroll platforms (Gusto, Rippling, ADP, Justworks, or similar).
  • Working knowledge of AP/AR processes and comfort with basic accounting workflows. You don't need to be a CPA, but you need to be accurate and organized.
  • Solid understanding of employment law and HR compliance across multiple states (multi-state employer experience preferred).
  • Demonstrated experience recruiting for both technical and non-technical roles, including sourcing and pipeline management.
  • Proficiency with HR and recruiting tools (e.g., HRIS systems, applicant tracking systems, Google Workspace or Microsoft 365).
  • Experience in a startup or small company environment where you were the sole or primary HR/operations person.

Responsibilities

  • Develop and maintain HR policies, procedures, and an employee handbook appropriate for an early-stage company.
  • Manage the full employee lifecycle: onboarding, performance management, employee relations, offboarding.
  • Ensure compliance with federal, state, and local employment laws and regulations.
  • Serve as the primary point of contact for all employee questions related to policies, benefits, and workplace matters.
  • Foster a healthy, direct, and accountable team culture as the company scales.
  • Own end-to-end payroll processing, ensuring accuracy and timeliness across all pay cycles.
  • Administer employee benefits programs—health insurance, retirement plans, PTO, and other perks.
  • Evaluate, select, and manage relationships with benefits providers and payroll platforms (e.g., BambooHR, Rippling, Justworks, or similar).
  • Handle payroll tax filings, W-2s, 1099s, and related compliance requirements.
  • Partner with hiring managers to define roles, write job descriptions, and build hiring plans.
  • Manage the full recruiting pipeline: sourcing, screening, scheduling, interviewing, and offer management.
  • Build and maintain a candidate pipeline for technical and non-technical roles.
  • Represent PropertyPilot's culture and mission to prospective hires—you are often the first impression.
  • Process vendor invoices, manage payment schedules, and maintain accurate AP records.
  • Track and follow up on outstanding receivables, ensuring timely collections.
  • Reconcile transactions and work closely with external accountants or bookkeepers as needed.
  • Maintain organized financial records and support month-end and year-end close processes.
