About The Position

Responsible for the direct supervision and interviewing, hiring and evaluation of assigned Direct Support Professionals (DSP) and Assistant Habilitative Supervisor (AHS) staff. Responsible for oversight and implementation of training and/or accessing training for staff assigned to Program Coordinator supervision. This training will be ongoing and will ensure competency with regulatory requirements. Assess and ensure that the services received by people we support are provided in as natural an environment as possible. Develop an awareness of people we support as active citizens of the community.

Requirements

  • Bachelor’s Degree in Human Services or related field and two (2) years’ experience working with developmentally disabled in a supervisory capacity; or Associates’ Degree in Human Services or related field and four (4) years’ experience working with developmentally disabled in a supervisory capacity.
  • For internal candidates only: High School Diploma or GED and ten (10) years of experience working with the developmentally disabled in a supervisory capacity for The Arc Jefferson – St. Lawrence and must have completed the Agency’s Management Series.
  • Valid and acceptable New York State Driver’s License.
  • Authorized to work in the United States and pass all background clearances.

Responsibilities

  • In conjunction with the Assistant Director of Habilitative Services ensure adequate staff coverage at all Day Habilitation sites on a daily basis.
  • Ensure completion of on-site training and 90 day training for DSP staff in accordance with departmental guidelines to ensure understanding of job related responsibilities.
  • Provide regular guidance and support to DSP and AHS staff.
  • Monitor the required documentation for compliance with regulations and ensure that all documentation is completed within acceptable time frames in conjunction with AHS staff.
  • Make recommendations as needed. This includes Therap as well as any paper forms of documentation.
  • Responsible for daily observations in all Day Habilitation sites and periodic observations of off-site programs. These visits are to validate training of staff and implementation of programs.
  • Initiate new experiences and volunteer opportunities for people receiving services.
  • Approve the Day Habilitation daily assignment sheets for each program site on a daily basis.
  • In the event of an early closing of the Day Habilitation program, contact family members of people residing with families to ensure they are informed of the closing or delay in transporting.
  • Assist the Assistant Director and Director of Habilitative Services with maintaining accurate and up to date procedures in the functional plan and training manuals.
  • Assist the Assistant Director of Habilitative Services with ensuring fire evacuation plans for the Day Habilitation program are up to date at all times.
  • Ensure these procedures are reviewed with all staff a minimum of one time every quarter.
  • Maintain good communication, ensuring all expectations are clearly defined through positive approaches and interactions.
  • Responsible for the completion of electronic time keeping edits and approval of time off requests.
  • Meet with staff regularly to provide updates and training.
  • Ensure completion of the daily safety inspection sheet for each Day Habilitation program site.
  • Make recommendations for the purchase of program supplies for the Day Habilitation program.
  • Complete necessary requisition paperwork for Director’s consideration and approval.
  • Ensure oversight of all funds on site.
  • Ensure all funds are utilized in accordance with outlined departmental procedure.
  • Distribute and collect program funds to appropriate staff
  • Complete weekly checks of all documentation completed in the Therap system.
  • Complete periodic checks of ISP’s to ensure each ISP has all waiver services noted accurately.
  • Monitor the accurate and timely completion of billing and attendance in the Therap system.
  • Coordinate the completion of all intake and CSP meetings for all people receiving services in the day habilitation.
  • Assist the Assistant Director and Director of Habilitative Services in meeting all regulatory requirements and participate in all certification and recertification processes.
  • Complete Reportable Incidents, Significant Incidents and Minor Notable Occurrences as assigned.
  • This includes all aspects of the incident packet for review by the Director of Habilitative Services prior to the submission to the Executive Director’s office.
  • Review and track completion of General Event Reports (GER) for the purpose of monitoring the completion and documentation of minor injury logs.
  • Responsible for in-service scheduling ensuring all required trainings are up to date for assigned employees.
  • Participate with agency committee(s) as assigned.
  • Will comply with Code of Conduct for Service Delivery and Justice Center Code of Conduct.
  • Work with the Assistant Director of Habilitative Services to ensure all staff are assigned and report to residential sites when there is a delay in opening, an early dismissal or a closure of the program due to inclement weather conditions or any other unforeseen circumstance.
