About The Position

Green Lake Conference Center (GLCC) is seeking a welcoming and detail-oriented Guest Services Team Member to provide exceptional service during guest check-in, check-out, and throughout their stay. This role is essential in ensuring a warm, hospitable, and memorable first and last impression for our guests, group leaders, and other visitors. The Guest Services Team Member supports front desk operations by managing reservations, addressing guest needs, and promoting a positive experience for all who visit or contact Guest Services.

Requirements

• Must be at least age 18
• Minimum of a high school diploma, GED, or HSED.
• Ability to sit or stand and work on a computer for extended periods.
• Strong customer service orientation with a friendly and professional demeanor.
• Strong attention to detail, ability to work efficiently, and a willingness to learn.
• High level of integrity, confidentiality, and professionalism.
• Ability to prioritize tasks and manage multiple responsibilities.
• Positive attitude and ability to work independently or as part of a team.
• Proficiency (or willingness to learn) in Microsoft Excel, Word, Outlook, and the property management system.

Responsibilities

• Provide warm, professional, and accurate and efficient service to guests and group leaders during check-in and check-out.
• Utilize the property management system (PMS) to create, modify, and verify reservations, ensuring accuracy with contracts.
• Accurately process guest payments, balance the cash drawer at each shift's start and end, and promptly report any discrepancies. Adhere to established cash handling procedures to ensure accountability and minimize errors.
• Maintain clear and consistent communication with team members across shifts, ensuring a seamless transition by sharing guest needs, department updates, and important events.
• Anticipate and address guest needs, proactively resolve concerns, and provide seamless support for conference center operations to enhance the overall guest experience.
• Review contracts, prepare room keys, meal tickets, and other essential materials in advance to ensure a smooth and welcoming experience for guests.
• Maintain cleanliness in the guest services area, lobby, public restrooms, and employee break areas.
• Identify and report any maintenance needs for equipment to ensure reliable operation and to minimize downtime.
• Maintain a clean, organized, and well-stocked front desk area to support efficiency, professionalism, and seamless guest service. Ensure that all necessary supplies, documents, and equipment are readily available for team members across shifts.
• Follow all safety and security protocols to ensure a safe environment for guests and staff. Adhere to procedures for handling confidential information, operating office equipment, and responding to emergencies or unusual situations during overnight hours.
• Perform additional tasks as assigned to support the overall operations of the Guest Services department.
