As a Guest Experience Coordinator at JLL, you'll serve as the welcoming face of our organization, creating exceptional first impressions for every visitor who enters our office. This dynamic role positions you at the heart of our operations, where you'll manage the complete visitor experience from greeting guests and handling phone communications to coordinating office events and maintaining pristine reception areas.Your proactive approach will be essential as you handle facility coordination, process maintenance requests, manage mail distribution, and maintain security protocols that keep our workplace safe and welcoming for all.

Requirements

  • Exceptional verbal and written communication skills with professional phone etiquette.
  • Ability to thrive in high-traffic environments while managing multiple inquiries simultaneously.
  • Advanced proficiency in MS Office Suite, email systems, and business communication platforms (Teams, Webex).
  • Strong organizational skills with proven ability to prioritize and execute multiple tasks efficiently.
  • Excellent interpersonal abilities with talent for building relationships across diverse stakeholder groups.
  • Demonstrated capability to handle confidential information with discretion and maintain security protocols.
  • Positive attitude with meticulous attention to detail and superior multitasking abilities.

Responsibilities

  • Manage incoming calls by taking detailed messages, answering inquiries, and directing calls to appropriate team members.
  • Provide warm, professional greetings to all guests and visitors while ensuring their comfort throughout their visit.
  • Maintain reception areas and public spaces to exceptional presentation standards, reflecting JLL's commitment to excellence.
  • Execute daily opening and closing procedures for the front desk, ensuring operational readiness.
  • Oversee efficient sorting and distribution of incoming mail, packages, and catering deliveries.
  • Implement security protocols and maintain registration systems while controlling access through established procedures.
  • Facilitate seamless communication between internal departments and coordinate meeting room setups for various events.
