The Administrative Assistant 2 is responsible for assisting with the overall operation of the Division's Administrative Services Department. The role provides administrative support to the division management team and requires a high standard of coordination, collaboration and communication skills as they will also work closely with all staff of the Division. Composes, types, and edits various routine and technical level documents. Proofreads/reviews copy, agreements and other documents for spelling, grammar, punctuation, layout, and compliance with SJRA standards, and makes appropriate revisions; responsible for accuracy and clarity of final copy. Maintains electronic and physical records and filing systems. Creates and/or maintains technical spreadsheets, presentations and databases. Coordinates and gathers a variety of data to generate reports and distribute. Generates and submits requisitions for purchase orders. Receives invoices applied against purchase orders and tracks the costs in the department budget. Participates in internal and external routine meetings, prepares meeting agendas, and records and distributes meeting minutes as necessary. Schedules and organizes activities such as meetings, travel, conference attendance, training, and other department activities for all staff of the Department and/or Division. Participates in the planning and coordinating of department events, providing support in the setup and tear down of meeting essentials; maintains meeting room calendars and all communication with other departments regarding meeting room arrangements. Identifies the need for food orders and places them accordingly. Acts as a liaison with other departments; handles non-routine information and explains policies when necessary. Collects, sorts, distributes, and prepares outgoing mail or courier deliveries. Works independently and within a team on special nonrecurring and ongoing projects; organizes and prioritizes responsibilities to achieve goals under minimal supervision. Performs other duties deemed appropriate and as assigned by his/her direct supervisor, appropriate Department/Division Manager, the appropriate Senior Manager, or the General Manager, including duties outside of regular business hours. This position is classified as secondary essential personnel. The individual holding this position will be required to work as required in (1) preparation for an emergency event and/or (2) during recovery from an emergency event as directed by their direct supervisor, Department/Division Manager, the appropriate Senior Level Manager, or the General Manager. Position Hours are Monday-Friday 7:00am - 4:00pm in office (this is not a teleworking position).
