About The Position

The Group Sales Administrative Assistant plays a pivotal role in the efficient functioning of group sales operations by managing tasks such as answering calls, handling inquiries, coordinating group packages with attractions and restaurants, maintaining tracking reports, inputting rooming lists, assisting with group resumes, creating invoices, processing payments, updating lead sources, and other duties supportive of the Group Sales Managers.

Requirements

  • Due to the cyclical nature of the hospitality business, team members may be required to work varying schedules to reflect the business needs of the resort, including weekends and holidays
  • Prior hospitality experience required
  • Proficiency with general office equipment and PC applications (i.e. multi-function copiers, Microsoft Word & Excel, databases, email)
  • Strong organization and time management skills, with proven ability to multitask and prioritize effectively
  • Keen attention to detail, with a strong commitment to accuracy, confidentiality, and timely completion of tasks
  • Strong problem-solving and creativity skills, with the ability to adapt effectively to significant changes in work tasks
  • Effective communication skills: able to listen, understand, and clarify client needs, and communicate clearly and professionally with guests, coworkers, and supervisors
  • Demonstrated reliability, diligence, and dedication, with a strong sense of responsibility and self-motivation to achieve goals

Nice To Haves

  • Previous sales experience preferred
  • Previous Delphi or SalesPro experience preferred

Responsibilities

  • Handle incoming calls and document detailed inquiries for Sales Managers’ follow-up; perform administrative tasks including typing, emailing, data entry, filing, faxing, copying, and taking notes or dictation
  • Assisting Sales Managers with group packaging (to include coordinating with attractions/restaurants)
  • Maintaining group packaging tracking report
  • Inputting Rooming List, updating as needed
  • Assisting with Group Resumes
  • Creating Group Invoices
  • Monitoring and processing Group Payments
  • Logging Group's pick up into Salespro after Group's departure
  • Monitor and update lead sources to include RFPs, CVENT and CVB sites
  • Coordinating with Brittain properties as directed by Sales Managers or Senior Director of Sales Maintaining sales office supplies and office equipment
  • Move between sales offices as needed to support the sales team
  • Other duties as assigned
