Job Summary Under the immediate supervision and direction of the Manager, Supervisor, and Assistant Manager, Grounds and Landscaping Services and/or designee, assists in general administrative support for the Grounds Department.

Requirements

  • Equivalent to three years of administrative support experience required.
  • The ideal candidate possesses strong computer proficiency, including working knowledge of Microsoft Word, Excel, PowerPoint, Adobe Illustrator and InDesign, GIS and ArcMap, and specialized systems such as ArborPro and RainMaster, with the ability to quickly learn and effectively use in-house maintenance management and campus event management systems.
  • They bring demonstrated experience in customer service oriented environments and communicate confidently and professionally with all levels of administration, faculty, staff, contractors, and the general public, both orally and in writing.
  • This individual has experience using multi-line phone systems and paging devices such as radios and walkie-talkies, and consistently demonstrates exceptional organizational, interpersonal, and communication skills.
  • The ideal candidate is adaptable, creative, and able to prioritize and multitask in fast-paced, high-pressure, and high-profile situations, particularly those involving events and facilities services.
  • They relate well to individuals and groups from diverse backgrounds and perspectives, maintain a high level of professionalism under stress, and are adept at managing multiple projects while delivering excellent customer service.
  • Ability to communicate with an ethnically and culturally diverse campus community.
  • Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.

Responsibilities

  • Assist with daily administrative operations of Grounds Department including SUAMs, Work Order Management System entries, Labor tracking, processing of absence request, creating purchase request, budget tracking and processing of invoices.
  • Support of the Assistant manager, Grounds Coordinator, and Field Operations Specialist
  • Assist with recycling billing, tracking of data for reports.
  • In the absence of the field operation Specialist assumes duties to facilitate department operations.
  • Compiling event / classroom reports for staff, monitoring of work orders for service request.
  • GIS Plant ID map database.
  • Support of commencement operations assisting field operations Specialist with coordination of meeting set up staff schedules.
