Job Description Billing & Compliance Monitoring: Review and verify billing data submitted by Network Agencies in the RxOffice system and other acceptable modes, across multiple counseling initiatives (e.g., Comprehensive Housing Initiative, Foreclosure Mitigation Counseling Initiative, HUD Initiative). Identify discrepancies or non-compliance issues in submitted billing information and ensure proper documentation is maintained. Follow up with partner agencies to obtain required corrective actions or clarifications. Verify counselor and agency eligibility to ensure compliance with billing requirements across all initiatives. Training & Support: Participate in targeted training sessions via webinars to educate agencies on billing procedures and compliance expectations for each initiative. Assist with the development and distribution of training materials, program guidelines, and compliance-related documentation. Data Management & Reporting: Maintain electronic and physical billing records in accordance with established policies and compliance regulations. Run system reports (e.g., from RxOffice and other funder-specific systems) to support monitoring, audits, and internal reviews. Assist with data entry and documentation review to ensure compliance with counselor procedures and program guidelines. Prepare and submit reports as required by internal leadership or external (federal/state) agencies. Compliance Support: Collaborate with Compliance Officers and Senior staff to investigate and respond to potential funding discrepancies, violations of rules, policies, or standards of conduct. Contribute to the preparation of reports related to PHFA Housing Counseling Standards, counselor training, agency file reviews, and survey outcomes. Additional Duties: Maintain a physical presence in the office to support collaboration and workflow continuity. Assist with special assignments, pilot programs, and other initiatives as directed by management, including the Senior Business Development Officers, Compliance Officers, and Division Director. Participate in professional development, including relevant continuing education seminars and conferences. Regularly works on tasks that are varied and complex. Applies full range of specialized skills and job knowledge; frequently adapts procedures, techniques, tools, materials, and/or equipment to meet specialized needs; may serve as lead; performs broad and/or focused assignments under general supervision; originality and ingenuity are often required to help establish procedures in functional area; relies on experience and judgment to plan and accomplish assigned tasks.
