About The Position

This position is responsible for the daily operations of the Department’s property, storage space allocation, distribution orders, and dissemination as necessary. Responsible for overall security of the warehouse facility, ensuring physical arrangements of facilities are efficient. Responsible for reviewing management reports, including quality controls which offer assurance that delivery times are adhered to. Research and respond to incoming correspondence. Performs work as related and assigned. The employee will research and respond within specific timelines to special operational projects assigned by the bureau chief’s office. Projects must be completed within established time frames and accurately address the issue or concern of the requests.

Responsibilities

  • The incumbent will report to the director of the property section and provide administrative support to property section staff for Division of Blind Services Projects.
  • Assists in the coordination of administrative tasks and assignments which include, but may not be limited to assisting the property manager, surplus property manager, and inventory agents with processing and maintaining Division of Blind Services property surplus paperwork and filing systems.
  • Develops and implements control procedures and techniques encompassed in the planning, acquisition, storage, distribution, and disbursement of inventories, and coordinates the operations of a computerized inventory information system designed to provide a master historical file of item usage, order quantities, and reorder points. Implements and maintains controls and procedures to ensure adequate inventory records. Maintains a centralized file system required by the activities in property.
  • Maintains a variety of databases within property, including surplus property tracking, certification tracking, and barcode property tracking system.
  • Handles and coordinates the disposal of the Division of Blind Services surplus property.
  • Coordinates department moves using inmate labor and contractor services. Coordinates the receiving and shipping of supplies and property storage items. Coordinates and designs cubicle modifications/builds.
  • Transcribes, collects information, formats, types, and edits replies to correspondence From the Division of Blind Services Custodians in the State of Florida, responds to inquiries, memoranda, technical forms etc., using word processing and desktop publishing programs. Composes correspondence or memoranda as requested by the property director. Assists in developing warehouse policies and operational procedures as needed. Assists warehouse personnel in establishing reasonable inventory stocking levels and maintaining effective reordering points and other quantities.
  • Assists in the implementation of measures of standardizing warehouse operations and eliminating duplication. Assists warehouse personnel in planning inventory storage and arrangements, maintaining effective turnover of inventory, and controlling significant inventory items representing a high usage value.
  • Imports orders electronically for distribution and supply room items. Updates and maintains inventory files and generates monthly reports.
  • Maintains current property inventory records specifying location of property under warehouse control and assists in the physical inventory of the Division of Blind Services and (BBE) property and reconciliation of all discrepancies.
  • Handles special projects and prepares reports as assigned and works with appropriate staff.
  • Serves as liaison with property manager and various offices on the storage of surplus and other property in an efficient and economical manner.
