Job Summary/General Purpose of Job As an experienced meetings and events professional, this position helps ensure the successful planning and execution of large-scale meetings and events hosted by the ABA, the Board of Governors, and the Office of the President.

Requirements

  • Bachelor's degree or equivalent experience from four-year college or university or equivalent experience. (Experience would include: at least 3 additional years work experience in a job that involved interaction with sophisticated clients).
  • A minimum of 3 years’ experience planning and executing meetings and events for senior level staff.

Responsibilities

  • In coordination with internal support, source hotels and venues for meeting events, and participate in price negotiations. Conduct site visits as needed.
  • Ensure all relevant systems and databases are updated with participant, member, and location information: scheduling, attendance, locations, and contact information. Create and maintain information on officer travel details to all ABA entity meetings, accredited law schools, and state, local, and national bar associations.
  • Create and manage all Board mailings regarding travel and events, such as travel details and meeting schedules.
  • Create Qualtrics attendance survey forms, distribute, track, and follow up on responses.
  • Create and maintain full calendar year timeline of all department duties for the Midyear and Annual meetings. Review and update weekly and serve as project manager.
  • Assist with marketing campaigns with various departments, social media campaigns, work with Cvent on registration needs, and work with Email Team on launching registration campaign.
  • Create meeting game plans for each event, and develop A/V requirements, room diagrams, and other meeting needs. Coordinate speaker requests and generate invitation letters and/or coordinate invitations with entities/convention bureau.
  • Serve as on-site point-of-contact for all Board of Governors and OP meetings
  • Play a key role in organizing various special projects and events, as needed.
  • Performs other related duties as required.
