About The Position

The GME Program Coordinator will provide programmatic support to the daily administrative functions of the Duke Psychiatry Residency Training Program under the supervision of the Education Programs Manager who works in concert with the Program Director and reports to the Vice Chair of Education. The Coordinator will be responsible for managing complex, long-range administrative functions related to the educational mission and initiatives of the Program. This position will work in concert with the Program Director in monitoring current and new updates of the Accreditation Council for Graduate Medical Education (ACGME), American Board of Psychiatry and Neurology (ABPN), and other applicable accrediting bodies associated with the field of Graduate Medical Education (GME); to help maintain residency accreditation.

Requirements

  • Work requires analytical, communications and organizational skills generally acquired through completion of a bachelor's degree program.
  • A minimum of three years of experience and thorough knowledge and understanding of the current ACGME Common Program Requirements, Residency Review Committee requirements, and Specialty Board requirements for certification and tracking for each specialty program, or an equivalent combination of relevant education and/or experience
  • Thorough knowledge and understanding of the current ACGME Common Program Requirements, Residency Review Committee requirements, and Specialty Board requirements for certification and tracking for each specialty program.
  • Be familiar with the ACGME Institutional Requirements and pertinent Duke University Hospital institutional policies and guidelines.
  • Maintain continuing education by presenting and attending local, regional, and national meetings.

Nice To Haves

  • Experience in graduate medical education is strongly preferred.
  • TAGME certification preferred but not required
  • Familiarity with ACGME Institutional Requirements and institutional policies

Responsibilities

  • Serve as the primary administrative contact for residents, faculty, and program stakeholders.
  • Maintain resident records and program documentation in shared systems (e.g., Box, SharePoint, Google Drive).
  • Coordinate accreditation-related data entry and reporting (e.g., WebADS, ERAS, NRMP, FREIDA, PreCert).
  • Track resident compliance requirements, including licensure, certifications, and institutional training modules.
  • Manage program data, evaluations, schedules, and duty hour reporting in MedHub or equivalent systems.
  • Support accreditation activities, including preparation for ACGME self-study and site visits.
  • Assist with planning and coordination of key program events (e.g., recruitment, onboarding, orientation, graduation).
