General Purpose of Job: Provide secretarial/coordinator support for the Department of Medical Education. Maintains utmost level of confidentiality at all times. Adheres to hospital policies and procedures. Demonstrates business practices and personal actions that are ethical and adheres to corporate compliance and integrity guidelines. Performs daily office functions - phones, e-mail, typing, transcribing, photocopying, filing, faxing, sorting and distribution of mail. Acts as liaison to initiate and facilitate the process of obtaining faculty appointments for members of the Driscoll medical staff (Texas A&M Health Science Center, UNTHSC, and UTMB). Responsible for all Residency Program, Medical Education, IRB and Library contracts, including Affiliation Agreements and Program Letters of Agreement required for resident outside electives. Responsible for coordinating Resident Graduation, Annual Research Night and Annual Quality Improvement Symposium and assisting with coordination of Workshops, , Resident Recruitment, and other residency events. Collects and checks accuracy of monthly faculty Medical Education Service Agreement and Teaching Attending time sheets and maintains spreadsheet summary of hours paid and carryover hours and routes for approval. Primary point of contact for Medical Education Contracts Responsible for assisting with the preparation of the Residency Program, Medical Education, IRB and Library department budgets. Requests and tracks reimbursement for residents’ purchases from their educational stipends and reimbursement of residents and GME staff for program costs. Coordinates hospital-related travel for department personnel: requesting authorization and reimbursement. Responds to requests for residency verification of former residents. Requisitions office supplies, educational materials, books, etc.. Primary responsibility for scheduling the resident conference room, other room reservations and food orders. Must assist with New Innovations management Responsible for yearly Advisor meeting, twice yearly resident advisor meetings, and management of Advisor communication Responsible for preparation of Monthly resident newsletter Responsible for management of physician shadowing program Responsible for management of visiting residents and fellows rotating at Driscoll General secretarial support for Medical Education and the Residency Program Until all children are well. Requirements

  • Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one year related experience and/or training; or equivalent combination of education and experience.
