WHAT YOU CAN EXPECT This position is 60% Program Coordinator and 40% Administrative Assistant. Residency/Fellowship Coordination Comply with all requirements of the ACGME, including data input, annual updates, milestones, and annual survey delivery. Maintain constant communication and contact with the Program Director, Asst. Program Directors, and Chief Residents. Liaison Complete credentialing application for new residents and graduating residents. Manage day to day residency operations and act as the liaison between residency leadership, faculty, residents and internal departments such as HR, IT, Occupational Medicine, Legal and Med Staff. Budgeting Work closely with the DIO, Director of GME, and Program Directors to prepare and justify budget annually and as needed. Handle all necessary reimbursements. Verification Coordinate and verify resident licensure annually. Verifies, tracks and reports completion of residency requirements. Plans residency graduation, execute contracts and finalize event details. In-Training Exam •Proctor annual resident In-Training Exam. Administer payment and register residents for In-Training exam. Data Maintenance Maintain active files/electronic files and all necessary databases relative to resident education and activities. Site Visits Prepare, schedule, coordinate and orchestrate ACGME accreditation site visits, to include preparation of all documentation. Promotions Administer annual resident promotions, contracts and employment agreement renewal process, including pay and title changes. Scholarly Activity Support and assist with scholarly activity amongst residents and faculty. Residency/Fellowship Coordination Work closely with the Program Director in the development of departmental policies and procedures, curriculum, scheduling and preparation of reports. Orientation Assist GME in the coordination of the annual orientation for incoming residents and fellows. These duties include but not limited to, scheduling department meetings, pager assignments and distributions, distribution of lab coats and speaker scheduling. Prospective Applicants Coordinate all communication and activities to include downloading of applications; scheduling of recruiting sessions and interviews; preparation of ranking lists for match purposes. Residency/Fellowship Coordination Schedule and participate in the following committees; GMEC (Graduate Medical Education Committee), PEC (Program Evaluation Committee) and CCC (Clinical Competency Committee). Report minutes for above mentioned committees. Maintain resident committee assignments annually. Marketing Update marketing and publicity materials; maintain and update website. Residency Rotation Coordination Communicates and enforces established policies and procedures; recommends changes as appropriate. Residency Rotation Coordination Serves as a liaison and maintain communication with preceptors. Recruit new preceptors for resident rotations. Solicit evaluations from preceptors. Resident Lecture Series, Workshops, Retreats Schedule daily resident lectures; recruit speakers for lectures; coordinate Annual Team Building Activities. Credentialing Develops and executes Program letters of Agreement. Prepare credentialing paperwork for outside rotations.

Requirements

  • Bachelor's Degree or 6 years In lieu of degree, related experience
  • 2 years Administrative Assistant experience
