About The Position

The University of Miami/UHealth Dermatology Department has an exciting opportunity for a full-time GME Coordinator 2 to work in Miami, FL. The GME Coordinator 2 (A) performs administrative duties in support of the assigned medical residency or fellowship program(s). The GME Coordinator 2 (A) supports the program director(s) and residents/fellows by ensuring all administrative tasks are performed to standard to maintain compliance with Accreditation Council for Medical Education (ACGME) requirements. The position serves as the contact and primary resource for all GME-related activities, including but not limited to onboarding, scheduling, records maintenance, activity coordination, credentialing, and reimbursement processing.

Responsibilities

  • Manages daily administrative operations for one or more medical residency or fellowship programs.
  • Assists the Program Director(s) (PD) and/or Associate Program Director(s) in developing and maintaining the educational quality of the training programs and ensuring compliance with ACGME accreditation standards and other regulatory requirements.
  • Coordinates recruitment efforts and ensures compliance with requirements of the National Resident Matching Program (NRMP) Match process, to include scheduling of interviews, updating marketing material, and tracking candidates.
  • Assists in onboarding new residents/fellows by scheduling orientation and other required training, confirming lecturers, and marking attendance.
  • Coordinates lectures, updates departmental calendar(s), and prepares announcements through newsletters, email, or other mediums.
  • Acts as a liaison for faculty, residents, fellows, medical students, lecturers, and internal and external stakeholders.
  • Attends and takes minutes at applicable meetings and posts lectures and handouts for future reference.
  • Handles ongoing communication to and from visitors and others efficiently.
  • Maintains knowledge of current medical licensure requirements, immigration policies, ACGME accreditation, and institutional requirements.
  • Maintains learning materials including books, journals, computers, CD-ROMs, and other audio-visual materials.
  • Assists in the preparation of letters of agreement with affiliated programs.
  • Administers the resident management system for the programs, including maintaining resident demographic data and resident/fellow schedules, importing program and rotation goals and objectives, tracking conference attendance and vacation/leave schedules, and ensuring timely completion of duty hours reports.
  • Updates and manages program information in the Electronic Residency Application Service (ERAS).
  • Ensures reports are submitted as required by the ACGME, the Graduate Medical Education Committee (GMEC), and other internal/external stakeholders.
  • Assists in the onboarding and training of new GME Program Coordinators and acts as a resource to them during the onboarding period.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Responsible for the management and maintenance of department residency progras including but not limited to Dermatology Residency Program and MD/PhD program.
  • Serves as backup for student rotations, and medical school-related programs.
  • Provides both administrative supervision and support to residents, fellows and students.
  • Acts as a liaison between residents, students, observers, department and hospital administration when necessary.
  • Establishes relationships and acts as a liaison to other hospitals, internal departments, and divisions regarding resident recruitment, orientation, annual program Affiliation Agreements, and external rotations.
  • Provides administrative support to Residency Program Director including but not limited to scheduling of meetings, meeting minutes, development of reports and provision of data to the Residency Program Committee.
  • Assist in the implementation of policies developed by the committee.
  • Interprets and applies ACGME, other national accrediting agencies, and hospital policies to support compliance.
  • Manage and coordinate ACGME conducted accreditation site visits and internal reviews.
  • Maintain in web-based ACGME accreditation surveys for Residency Program.
  • Compile and submit reports to ACGME, Specialty Board, American Association of Medical Colleges, AMA, and other professional organizations as required.
  • Maintain in GME Track.
  • Maintains databases with resident and faculty data, including New Innovations.
  • Manages the evaluative processes of the trainees, program, faculty, and rotations.
  • In applicable programs, maintains the ERAS database (Electronic Residency Application System) and oversees its processes during the Residency Recruitment season.
  • Performs all Match responsibilities and corresponds with newly matched residents about requirements and process for appointment to the hospitals.
  • In applicable programs, assists with quota review and rank list entry and certification in NRMP (National Residency Matching Program).
  • Corresponds with those who are accepted into the program as to the employment requirements as established by Jackson Health System/Jackson Memorial Hospital.
