Overview of Role The Legal & Compliance Administrative Assistant will provide comprehensive support to the Head of Legal & Compliance for the Americas as well as the Legal & Compliance Department. The ideal candidate will have strong communication, interpersonal and excellent organizational skills. The ability to multi-task while maintaining complex schedules, organizing travel and providing administrative and facilities support is essential in this position.

Requirements

  • Bachelor’s Degree preferred
  • The ideal candidate will likely have at least 3 – 5 years of prior experience in a corporate environment
  • Strong computer skills with excellent working knowledge of Microsoft Office
  • Ability to work under pressure and multi-task
  • Ability to prioritize tasks

  • Self-starter and resourceful team player
  • Proactive, positive attitude

Nice To Haves

  • Prior experience in Legal or Compliance support preferred

Responsibilities

  • Administrative duties such as scheduling meetings and occasionally coordinating domestic and international travel arrangements
  • File and maintain employee registrations with FINRA, including U-4 registrations and amendments, Non-Registered Fingerprinted Individual filings and U-5 terminations; schedule employee licensing exams and track completion; monitor employee completion of FINRA continuing education requirements
  • Assist the Head of Legal & Compliance with maintaining federal, state, and foreign regulatory filings and responding to inquiries from regulatory agencies
  • Arrange Legal & Compliance trainings and seminars
  • Coordinate weekly client approval committee meetings
  • Process expense reports using Concur and coordinate payment of all vendor invoices
  • Perform other administrative tasks
  • Perform and assist with other tasks and special projects as required or assigned by the Legal & Compliance Department
