About The Position

The Part-Time Gift Processing Assistant plays a critical role in supporting the Advancement team by ensuring all charitable gifts are processed accurately, efficiently, and in a timely manner. This position helps maintain the integrity of donor records, supports donor stewardship through prompt acknowledgments, and contributes to a positive donor experience. This role is essential to the operational success of the Advancement Office and enables frontline fundraising staff to focus on donor engagement and revenue growth.

  • Basic proficiency in Microsoft Office (Excel, Word)
  • Strong written and verbal communication skills
  • Ability to manage routine, deadline-driven tasks with accuracy

Nice To Haves

  • Experience with data entry or administrative support
  • Familiarity with CRM systems (Virtuous or similar)
  • Experience in nonprofit, higher education, or fundraising environments

Responsibilities

  • Gift Processing & Data Entry Accurately process all incoming gifts, including checks, online gifts, pledges, matching gifts, and gifts-in-kind
  • Enter and maintain gift and donor information in the Virtuous CRM system
  • Ensure proper fund designation and coding for all gifts
  • Maintain accuracy and integrity of donor records
  • Donor Acknowledgment & Stewardship Support Generate and distribute tax receipts and gift acknowledgments in a timely manner
  • Assist in preparing donor stewardship communications and mailings
  • Support efforts to ensure donors feel seen, valued, and appreciated
  • Reconciliation & Reporting Assist with daily and weekly gift batch reconciliation
  • Coordinate with Finance to ensure accurate reporting and deposits
  • Support month-end and year-end processes as needed
  • Administrative Support Respond to donor inquiries related to gifts and receipts
  • Assist with data cleanup and record updates
  • Support audit preparation and compliance needs
  • Maintain confidentiality of donor information at all times
