About The Position

The Fundraising Executive Assistant provides high-level administrative and operational support to Woodbury Corporation's investor relations and capital raising activities. This role serves as a key liaison between investors, potential investors, financial partners, executives, and internal teams while managing the day-to-day coordination of investor communications, capital raising initiatives, and investor engagement activities. The ideal candidate will demonstrate exceptional organizational skills, discretion with confidential financial information, and a commitment to maintaining strong investor relationships.

Requirements

  • Bachelor’s degree in business, Finance, Communications, or related field preferred or equivalent combination of education and experience
  • 3-5 years of administrative experience, preferably in investor relations, private equity, real estate finance, or financial services
  • Experience with CRM systems and investor database management preferred
  • Exceptional organizational skills with strong attention to detail and accuracy
  • Excellent written and verbal communication skills with ability to interact with high-net-worth individuals
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to manage multiple priorities and deadlines in a fast-paced environment
  • Strong interpersonal skills and ability to interact professionally with investors and stakeholders
  • Discretion and sound judgment when handling confidential financial and investor information
  • Self-motivated with ability to work independently and as part of a team
  • Professional demeanor and commitment to excellent customer service
  • Understanding of investor relations principles and capital markets
  • Familiarity with securities regulations and compliance requirements preferred
  • Ability to read and understand financial statements and investment documents helpful
  • Office environment with standard office equipment
  • Ability to sit for extended periods and work at a computer
  • Occasional evening or weekend hours for investor events or meetings
  • May require occasional travel to property sites, investor meetings, or conferences

Responsibilities

  • Calling investors to arrange meetings for executives
  • Maintain accurate investor records and investment tracking in CRM/investor database system
  • Prepare investor communications, updates, and correspondence
  • Track capital commitments, investments, and investor engagement activities
  • Generate investor reports, portfolio updates, and analytics for leadership review
  • Coordinate investor recognition and maintain communication timelines
  • Manage distribution of quarterly reports, K-1s, and other investor documents
  • Manage complex calendars, schedule investor meetings, and coordinate travel arrangements for investor relations executives
  • Prepare meeting agendas, investment materials, and follow-up action items
  • Draft and edit correspondence, presentations, investment memos, and offering materials
  • Handle confidential financial and investor information with discretion and professionalism
  • Screen and prioritize incoming investor communications and requests
  • Maintain organized filing systems for investor agreements, subscription documents, and compliance records
  • Assist with capital raising initiatives, private placements, and investment offering development
  • Coordinate investor communications and marketing materials
  • Maintain investment memorandums, offering documents, and performance reports
  • Support compliance requirements and regulatory filings
  • Track capital raising progress and prepare status updates for leadership
  • Assist with preparation of investor presentations and pitch materials
  • Provide administrative support for investment committee meetings
  • Prepare board materials, meeting packets, and investment performance reports
  • Coordinate board members and investor engagement and communication
  • Maintain records of board investment activities and capital commitments
  • Distribute meeting minutes and track action items
