About The Position

Under the general supervision of the Chief of Community Development and Public Relations and/or their designee, Agency Support Staff are responsible for the answering of the Agency telephone and processing messages for staff, as well as other clerical duties.

Requirements

  • Applicant must have a high school diploma and excellent oral skills.
  • Applicant should have computer skills including Microsoft Outlook, Microsoft Office and Excel.
  • Knowledge of filing, bulk mailing and general office practices and procedures.
  • Functional knowledge of email, scanning, copy, and fax machines required.
  • Applicant must possess a valid driver’s license and proof of automobile insurance.
  • Must also pass a criminal background check and drug screen.

Responsibilities

  • Answer and forward all incoming telephone calls and/or communicate messages to proper staff members.
  • Serve as office receptionist. Greets all visitors to the Agency either in person or by phone.
  • Create and update staff business cards.
  • Maintains a current staff directory.
  • Process all incoming and outgoing mail.
  • Operate and maintain the postage meter.
  • Maintains the appearance of the front lobby.
  • Filing, faxing, scanning, copying, and shredding duties.
  • Typing and word processing as needed to assist Agency staff.
  • Complete special project assignments for the Agency staff as needed.
  • Maintain minimum proficiency in all requisite computer applications and software.
  • Participate in and contribute toward accomplishment of divisional and Agency goals.
  • Maintains consumer and provider confidentiality according to HIPAA guidelines and Agency policy.
  • Meets timeframes for timely and accurate completion of documentation.
  • Promotes positive employee relations and fosters excellent customer service.
  • Participates in training to maintain and improve job skills.
  • Performs duties with respectful communications and behaviors.
  • Perform other duties as assigned.
  • Must have the following abilities to perform the essential duty: Ability to communicate effectively in person, by phone, and via email.
  • Ability to operate and troubleshoot printers and copiers.
  • Ability to type 50 words per minute.
  • Ability to maintain accurate files.
  • Ability to comprehend written material related to essential job duties.
  • Ability to comprehend, recall, and apply facts related to essential job duties.
  • Ability to analyze, evaluate, and implement a reasonable course of action based on available information.
  • Ability to lift/carry 20 lbs.
  • Ability to occasionally travel including but not limited to Columbus, Ohio.
