About The Position

Kinetic Institute Physical Therapy is seeking a Full-Time Front Office Coordinator to be the first point of contact for patients and help keep the clinic running smoothly day-to-day. This role is essential in creating a seamless and supportive experience for every patient from their initial interaction. The coordinator will manage the front desk operations, including welcoming patients, handling check-in/check-out processes, managing scheduling, maintaining accurate records, communicating with patients and providers, tracking insurance claims, and supporting overall clinic efficiency.

Requirements

  • High school diploma or GED
  • Detail-oriented, organized and confident managing a busy front desk
  • Experience with insurance verification, EMRs, and clinic operations
  • Ability to thrive in a structured environment and tactfully enforce policies
  • Natural problem solver and multitasker with a service-first mindset
  • Strong organizational and multitasking skills
  • Excellent communication and customer service abilities
  • Detail-oriented with strong problem-solving skills
  • Comfortable working in a fast-paced environment
  • Experience with EMR or scheduling software

Nice To Haves

  • Prior experience in a physical therapy or medical setting
  • 1+ year of front desk, medical office, or customer service experience
  • Experience with insurance verification and authorizations

Responsibilities

  • Welcome patients with warmth and professionalism - whether in person or by phone
  • Own the check-in/check-out process including collecting co-pays and verifying insurance
  • Manage scheduling, cancellations, and appointment flow
  • Handle patient registration and maintain accurate records
  • Communicate clearly with patients, providers, and referral sources
  • Track insurance claims, denials, and follow-ups
  • Support overall front office operations and clinic efficiency
