About The Position

As a Front Office Coordinator, you will create a positive client impression and ensure clients feel valued when visiting or contacting the firm. Serves as a console/switchboard operator and receives incoming calls as well as walk-ins from customers and other visitors. Checks appointments, offers information and directs calls to the desired person. May perform routine clerical functions.

Requirements

  • High school diploma with 2 years minimum previous experience in a front desk/reception professional setting.
  • Intermediate skills in both MS Office Suite and Adobe Pro software.
  • Ability to operate general office equipment and digital phone systems.

Nice To Haves

  • Previous experience with scheduling software, accounting systems, databases, and document management systems preferred.

Responsibilities

  • Greet clients and visitors and provide a welcoming, professional, and positive first impression.
  • Client service - address inquiries and resolve issues in a professional and courteous manner. Handle customer complaints or concerns and escalate them when necessary.
  • Operate standard office equipment, coordinate catering, schedule appointments.
  • Provide general information about Sorren and services, document preparation as needed, maintain and update contact lists, directories, etc.
  • Security awareness - notify appropriate personnel of any security concerns or suspicious activity.
  • Using digital phone application, field firm incoming calls, voicemail, and faxes and route appropriately.
  • Receive, sort, post, and distribute mail and FedEx deliveries daily as needed.
  • Assist with client tax document pick-up and signing process.
  • Unlock office in the morning and secure/lock in the evening.
  • Maintain kitchens; coffee, dishwashers, refrigerator’s
  • Maintain lobby and main conference room in guest-ready status.
  • Maintains confidentiality pertaining to clients and families.
  • Maintain accurate client information in firm practice management & tax software.
  • Assist with preparation and mail distribution of client engagement letters and project organizers.
  • Scan & upload client emails & source documents to file management system and proper tax software.
  • Performs other duties as assigned.
