About The Position

The Front Office Administrator plays a critical role in ensuring smooth daily operations across Beacon Behavioral Health outpatient clinics. This position serves as the first point of contact for patients and visitors while providing essential administrative, scheduling, referral, and coordination support to clinical teams. The role is responsible for managing front desk operations, patient communication, appointment scheduling, insurance verification, and maintaining accurate patient records. The PRN employee is needed ideally on Tuesdays, Wednesdays, and Thursdays from 8:00 AM–5:00 PM to assist with day-to-day front desk operations and scheduling needs. Primary responsibilities would include checking patients in and out, confirming appointments for the following business day, collecting patient payments, and assisting with scheduling follow-up appointments.

Requirements

  • High school diploma or equivalent
  • Proven experience in a front office or administrative role, preferably in a healthcare or clinical setting
  • Strong organizational, communication, and interpersonal skills
  • Ability to multitask in a fast-paced environment
  • Proficiency with computer systems and office software (Excel, Word, Outlook)
  • Experience with electronic health record (EHR/EMR) scheduling systems

Nice To Haves

  • Associate degree in healthcare administration or related field
  • Experience in insurance verification and referral coordination
  • Familiarity with behavioral health or outpatient clinic operations
  • Bilingual abilities are a plus

Responsibilities

  • Greet patients and visitors in a professional, welcoming manner
  • Answer, direct, and document incoming calls appropriately
  • Schedule appointments and manage provider calendars to ensure efficient patient flow
  • Verify insurance benefits and assist with patient billing inquiries as needed
  • Maintain accurate patient records in electronic health record systems
  • Coordinate referral appointments and communicate with external provider offices
  • Assist patients with refill requests by coordinating with pharmacies and providers
  • Accept and post payments for clinic services according to established guidelines
  • Maintain office procedures and assist with general administrative tasks
  • Support onboarding and workflow guidance for front office team members
  • Ensure confidentiality and compliance with healthcare privacy regulations
