About The Position

The Front Desk role is the first and last impression of the practice, responsible for delivering a seamless, elevated client experience from arrival to departure. This role blends hospitality, sales support, and operational excellence to ensure every client feels welcomed, informed, and confident in their care journey. LumiVita is looking for a full time Front Desk position at its Buckhead and Midtown locations.

Requirements

  • 2–5+ years of experience in a client-facing role within wellness, aesthetics, hospitality, boutique fitness, or luxury retail
  • Hospitality-driven mindset with a passion for delivering an elevated, high-touch client experience
  • Strong communication skills, with the ability to engage clients professionally and warmly across in-person, phone, text, and email interactions
  • Detail-oriented and highly organized, with the ability to manage scheduling, client records, and front desk operations in a fast-paced environment
  • Proactive team player who takes initiative, collaborates effectively with team members, and contributes to overall studio success
  • Ability to anticipate client needs, create a seamless experience, and build long-term client relationships

Nice To Haves

  • Experience in a med spa or aesthetics environment preferred, but not required

Responsibilities

  • Greet every client warmly and create a luxury, welcoming environment
  • Provide guided tours of the space and educate clients on services and offerings
  • Ensure a smooth and personalized check-in and check-out process
  • Maintain ambiance standards (music, cleanliness, refreshments, overall vibe)
  • Manage appointment scheduling, confirmations, and follow-ups through booking systems (e.g., Zenoti)
  • Answer phones, texts, and emails promptly with professionalism and warmth
  • Handle client intake forms, documentation, and ensure accuracy of records
  • Process payments, memberships, and packages
  • Educate clients on services, memberships, and promotions
  • Support providers by reinforcing treatment plans and encouraging rebooking
  • Identify opportunities to upsell or cross-sell services (IV therapy, wellness consults, injectables, etc.)
  • Track and support front desk KPIs (conversion rate, rebooking %, retail sales)
  • Guide clients through their full journey—from first visit to long-term retention
  • Transition IV clients into wellness consultations or additional services
  • Follow up with clients post-visit to ensure satisfaction and encourage return visits
  • Build relationships to create loyal, repeat clientele
  • Work closely with providers, medical assistants, and leadership to ensure seamless operations
  • Communicate client needs, preferences, and feedback to the team
  • Support events, promotions, and in-office marketing initiatives
