The 530 East Central Condominium Association is a well-established downtown Orlando high-rise community offering a professional, amenity-rich residential environment with a structured board and focus on long-term building upkeep. The Front Desk Supervisor & Administrative Assistant is responsible for managing the concierge operation at the property’s front desk and providing administrative support to the onsite facilities maintenance staff and onsite general manager. This role combines working some regularly scheduled concierge shifts, covering shifts when concierge staff call out sick or there is a vacancy on the team, and providing support to the facilities management staff and the general manager to support the association’s operation.

Requirements

  • High School diploma
  • Active Florida driver’s license
  • Minimum of 2-3 years’ experience in administrative, customer service and/or related field
  • Excellent communication, writing skills and phone etiquette
  • Excellent computer skills, including MS Outlook, Word and Excel, Internet usage, ability to quickly learn new programs that support community operation, as needed
  • Familiar with standard operations of common office equipment: Phones, printer, computers, tablet computer, cell phone, etc.
  • High degree of accuracy and attention to detail
  • Positive and outgoing personality, ability to work as a team player

Nice To Haves

  • Associate’s or Bachelor’s degree in business management or a related field preferred
  • Bilingual (English/Spanish) preferred

Responsibilities

  • Receive and respond to resident phone calls; address caller inquires or redirect as appropriate
  • Greet all guests with a warm smile and a positive attitude, answering questions and directing them to the onsite staff or corporate support department, as needed
  • Assist with adding packages delivered to the building into the building inventory, notifying the recipient of their package delivery and distributing packages to their recipients
  • Facilitate resident building and amenity access device distribution
  • Update the association’s resident database with tenant lease information or owner contact information updates
  • Conduct daily visual inspections association common areas and open or update work orders for maintenance or repair issues
  • Ensure a clean and inviting presentation of the property common areas including, front desk, elevators, exterior and interior doors, bathrooms, pool, gym or other amenities
  • Monitor common area video feed to watch for irregularities, damage or vandalism, trespassing or safety concerns. Report issues to the general manager and notate repairs needed in the work order module
  • Update the pass-down log for concierge staff to review at the start of their shifts
  • Supervise, train, and ensure proper coverage of the association by the concierge staff
  • Work concierge shifts when concierge staff calls out of work, or coordinate coverage by part-time concierge if available
  • Handles escalated issues referred by concierge staff or general manager, as needed
  • Performs regular inventory of access devices and programming logs
  • Performs regular audits of unit access devices and codes
  • Handle administrative tasks delegated by general manager
  • Attend association board or committee meetings and assist the general manager with meeting tasks, including A/V set up for virtual meetings, monitor the chat feed, draft meeting minutes and compile task list items for the management team discussed during meetings
  • Upload documents to CiraNet after review and approval at board meetings, or when applicable
  • Manage BuildingLink administrative duties
  • Draft and distribute communications to residents electronically, or hard copies
  • Coordinate vendors for onsite visits for scope of work review for proposal creation or work execution
  • Support maintenance staff workflow and communication between stakeholders
