About The Position

Job Summary: The Front Desk/Referral Coordinator/Office Administrator acts as the first point of contact for our patients where they set the tone for the visit through excellent patient care. They perform the Duties/Responsibilities: Schedule appointments, coordinating ancillary testing when necessary and ensuring pre certs and prior authorizations are received. Cancel, reschedule, and handle no-show appointments. Greeting patients, verifying all demographic information, verify insurance. Collect copayments, deductibles and coinsurance and provide receipts. Enter necessary information into the EMR system and scan driver's license and insurance cards. Communicate any expected delays to patients. Prepare charts for each day’s clinic in a timely manner. Work with patients, families and/or staff in handling and resolving problems within reason. Verify and coordinate patient referrals and schedule appointments. Request and upload referral office notes. Make appointments for incoming/outgoing referrals to other physicians' offices. Oversees record keeping for and destruction, Assists satellite offices, traveling to other offices if necessary. Maintain working knowledge of office equipment. Maintain inventory of office supplies. Maintain a neat, clean waiting area. Participates in professional development. Comply with HIPPA confidentiality standards when accessing or communicating patient information. Scan Documents into Athena as needed. Handle Medical Records to and from medical facilities or to Attorney Offices when needed. Other duties as assigned by manager/supervisor or physician.

Requirements

  • Excellent verbal and written communication skills
  • Ability to interact with patients and employees in a courteous, professional manner always
  • Excellent organizational skills and attention to detail
  • Ability to multi-task and function well in a high-paced and at times stressful environment
  • High School Diploma or equivalent
  • Prolonged periods of sitting at a desk, working on a computer
  • Repetitive hand movements (specifically keyboarding and writing)
  • Travel to other offices as needed

Nice To Haves

  • Healthcare receptionist experience preferred
