About The Position

A Front Desk Representative will undertake all receptionist and clerical duties at the desk of our main entrance. You will be the “face” of the company for all visitors and will be responsible for the first impression we make. The ideal candidate will have a friendly and easy-going personality while also being very perceptive and disciplined. Performs other general clerical and secretarial duties as requested. You should be able to deal with complaints and give accurate information. A customer-oriented approach is essential. The goal is to make guests and visitors feel comfortable and valued while on our premises while providing support, aid and help in resolving all customer needs as quickly and accurately as possible.

Responsibilities

  • Keep entrance area clean and presentable with all necessary materials available
  • Greet and welcome guests, applicants, and customers.
  • Communicate effectively and exercise sound judgement when interacting with customers
  • Answer all incoming calls and redirect them or take messages
  • Receive and distribute packages and correspondences
  • Coordinate shipping of packages and correspondences
  • Responds to and resolves administrative inquiries and questions
  • Performs other general administrative duties as requested, which may include recordkeeping and managing petty cash
  • Enter pick up orders, collect cash/check payments, process credit card payments and print invoices
  • Data entry
  • Work regularly with a Customer Relationship Management Program (CRM)
  • Communicate problems with the proper internal department
  • Train with Sales team to learn the following Sales task:
  • Supply positive, fast, and complete support resolutions to customers via various access channels such as telephone, voicemail, email, Microsoft Teams, and online chat.
  • Communicate effectively and exercise sound judgement when interacting with customers
  • Excellent attention to detail and the ability to proactively solve issues for the customer
  • Answer all incoming concerns/needs from all customers
  • Process orders for customer pick-up
  • Provide customers with invoice copies upon request
  • Process credits requests
  • Work regularly with a Customer Relationship Management Program (CRM)
  • Monitor orders before the cut-off time for next day delivery
  • Communicate regularly with your assigned sales representatives and customers.
  • Learn the product catalog in order to assist customers with product suggestions and alternatives
  • Communicate problems with the proper internal departments
  • Other duties as assigned by supervisor
