The Front Desk Receptionist serves as the first point of contact for visitors and callers at the firm, responsible for creating a welcoming atmosphere and ensuring efficient front desk operations. This role involves managing phone calls, greeting visitors, coordinating appointments, and providing administrative support to staff, all while maintaining a professional demeanor and a well-organized reception area.

  • Greet and welcome visitors, ensuring a positive experience.
  • Answer and direct phone calls in a friendly and professional manner.
  • Schedule appointments for clients and manage the office calendar.
  • Confirm all meetings via text, email, or phone.
  • Create Client Drive folders for new potential clients.
  • Coordinate in-person meetings and ensure conference room needs are met.
  • Receive, sort, and distribute incoming mail and packages.
  • Provide administrative support to attorneys and staff members.
  • Assist with client communication and follow-up on inquiries.
  • Maintain a neat and organized reception area.
  • Enter credit card or check payments and provide receipts.
  • Retrieve documents for clients and manage drop-ins.
  • Strong interpersonal skills and a welcoming demeanor.
  • Excellent verbal communication and active listening abilities.
  • Ability to manage multiple tasks and prioritize effectively.
  • Proficiency with office software tools, including Microsoft Office Suite.
  • High degree of accuracy in managing appointments and office tasks.
  • Ability to maintain a professional appearance and manner.
  • 1-2 years of receptionist or customer service experience preferred.
  • Familiarity with office operations and scheduling systems.
  • Competitive hourly wage of $18 - $21 per hour.
