About The Position

The Medical Front Desk Specialist is responsible for greeting patients on the telephone and in the office, making them feel welcome, and ensuring a successful visit. The patient is always to be recognized and never left waiting. Always acknowledge the patient immediately. Making return appointments, outgoing appointments, and view the schedules daily to make appropriate corrections on the schedules so that the physician can physically run his/her schedule. This means making realistic appointments and smoothing patient relationships when there are schedule delays. The Medical Front Desk Specialist is also responsible for making a pleasant exit for the patient, checking insurance information; balancing route slips for charges and payments, making daily deposit slip. The job also is responsible for maintenance of the medical record files. The Medical Front Desk Specialist will set a good example to other employee in all aspects of his/her work and will exhibit flexibility and willingness to be evaluated. The Medical Front Desk Specialist will bring office problems to the attention of the Administrator and will propose solutions. ESSENTIAL FUNCTIONS INCLUDE BUT ARE NOT LIMITED TO: Answering telephones in a timely manner and put ringing lines on hold. Greet patients at the front desk. Able to communicate with patients. Showing respect and empathy towards patients. To assist patients with scheduling problems and answer all questions. Makes appointments for all patients. Participation in getting all pertinent information documented in patient demographics Able to take phone notes in EMR. Makes outgoing appointments for referring patients to other practices for continued care. Schedules necessary testing for the physicians referring patients out. Takes and records messages for physicians and other employees in the office. Checking out patients. Check patient insurance information for accuracy. Provide patient receipts or letters (school, work excuse) upon request. Provides information to patients on the vitamins offered to patients by the doctors, and produce at statement of sale to the patient. Process phone payments. Postage for outgoing mail. Process patient mail. Process faxed insurance payments per Billing Supervisor. Balance route slip daily. To assist patients in answering simple billing questions. Enters in charges for consultations from hospitals. Enters in all contact lens transactions. Print and prepares daily schedules. Participation in pulling charts and filing charts. Prepares charts for the next day. Participation in filing correspondence in charts and scanning into the patient record in the computer. Communicate with employees. Shows respect toward fellow employees. Crossed trained in the front desk. Covers for lunches. Is supervised by Billing Supervisor and Practice Administrator ePHI ACCESS ELECTRONIC PATIENT HEALTH INSURANCE INFORMATION): The Medical Front Desk Specialist does have password access to Electronic Patient Information ADDITIONAL RESPONSIBILITIES : Knowledge of computer programs. Knowledge of medical billing & coding. Knowledge of patients insurance. Knowledge of medical terminology/abbreviations. Ability to prioritize and execute a variety of tasks simultaneously. Ability to operate a computer and basic office equipment. Ability to operate multi-line telephone system. Skill in answering a telephone in a pleasant and helpful manner. Ability to read, understand and follow oral and written instructions. Ability to establish and maintain effective working relationships with patients, employees, employers, and the public. Must be well organized and detail oriented. Requires adherence to all policies and procedure, including but limited to standards of safety, attendance, punctuality and personal appearance. Ability to communicate effectively in the English language in person, phone and in writing. Perform other duties as assigned.

  • Must be able to establish and maintain effective working relationship with patients, medical staff, management and peers.
