About The Position

This is a full time role for individuals who are able to drive clinic success while achieving key performance metrics and maintaining a positive, uplifting client experience and environment. We are looking for a full-time Front Desk/Customer Service Administrator to join our team! In this role you’ll have the important task of being the first point of contact with the patients of our practice. You must have previous experience in admin/office work and have a strong focus on customer service. You also must be able to work in a fast-paced environment and demonstrate extraordinary attention to detail. To excel in this role, you must be comfortable with talking to strangers both in person and on the phone, with the goal to brighten their day and ensure they look forward to working with our team. Requirements

  • Skills: Excellent communication skills, a positive attitude, passion for health and fitness, strong background in working with people, and the ability to work as part of a team are key.
  • Schedule: Full-time (36-40 hours per week), including mornings, evenings, and potential weekend shifts.
  • Please apply ONLY if you have at least one year experience in an administrative role (with a strong customer service focus) position preferably in a business-to-consumer environment. You must have a proven track record for working face to face with clients and being able to speak confidently on the phone.

Responsibilities

  • Greeting Patients/Customer Service: Greet all clients and guests enthusiastically. Handle client concerns professionally and in a timely manner.
  • Taking Payments and Account Management: Process client payments by cash, check, and credit card with accuracy and on time per clinic policy. Process and post insurance payments received by check and credit card. Distribute patient statements in coordination with the billing team. Answer client inquiries about billing statements and account balances.
  • Schedule and Client Management: Maintain the efficiency and profitability of the business by ensuring accurate and timely scheduling of all clients and appointment types. Follow up via phone, email, and text with prospective clients. Maintain prescribed frequency of scheduling as directed by clinical and training staff. Ensure all required documentation is on file for proper compliance. Onboard new clients using intake processes and procedures. Collaborate with clinical and billing departments to obtain accurate prior authorizations and communicate with patients about their benefits and cost responsibility.
  • Phone Skills: Handle inbound and outbound calls to current, prospective, and past clients confidently and professionally. Willingness to utilize company scripts for all call types. Handle all other inbound and outbound phone calls as required by the company while upholding our core values.
  • Clinic and Gym Operations: Ensure the gym, lobby, and front desk areas are clean and organized. Stock supplies and inventory so all departments can perform job duties smoothly and without delay. Manage all aspects of the front desk area.
  • Team Collaboration: Work closely with the clinical and training staff to ensure client adherence to prescribed plans of care and training programs are met with efficiency and accuracy.
