About The Position

Knowledge Services is seeking a customer service-focused individual for a Front Desk Coordinator position, also referred to as an Eligibility Assistant, with the FSSA / Division of Family Resources (DFR) in New Castle, IN. This role involves providing general office support and assistance to caseworkers and clients applying for public assistance programs such as TANF (cash assistance), SNAP, and Medicaid. The Eligibility Assistant staff are responsible for front desk duties, including collecting paperwork, processing applications, and assisting clients.   • Previous experience as a Customer Service Representative, Cashier, Clerk, Administrative Assistant, Receptionist, or Front Office desired

Responsibilities

  • Perform reception duties such as greeting visitors, signing for packages, booking conference rooms, administrative assistance to site management, etc.
  • Gather information as is required as it relates to incident management and report privacy violations.
  • Maintain records and postings as assigned.
  • Monitor employee compliance with physical security policy and local physical security procedures and ensure security of all company and client sensitive information.
  • Maintain the physical integrity and security of the contract office space.
  • Respond to employee queries about security issues accurately and helpfully.
  • Monitor management of the employee badge access control system to ensure timely disabling of badges for all employee terminations and timely new hire badge production.
  • Review monthly access control audit log to ensure all terminated employee badges have been been disabled and to review logs for unusual or unauthorized access attempts within the facility. Investigate such attempts and report these attempts to offending employee’s manager.
  • Coordinate preventive maintenance tasks to minimize business interruption.
  • Adhere to and enforce security protocols and procedures in accordance with Security Policies.
  • Ensure that no suspicious or potentially harmful people or objects are entering the premises and that company property and resources are not being unlawfully removed from premises.
  • Communicate with facility management to discuss security issues/concerns and participate in quarterly security audits.
  • Conduct interior/exterior patrols at least twice daily to monitor the status of access control points.
  • Regularly complete critical equipment checklist.
  • Maintain company facilities and regularly create and submit requests for assistance through our ticketing system.
  • Work with Property Management and Facility and Security Coordinator to maintain facility.
  • Complete other duties as assigned.
