Learn more at: C3 AI C3 AI is seeking a Front Desk Coordinator to serve as the face of our headquarters, ensuring employees, visitors, and vendors experience a professional and seamlessly run workplace every day. This role is onsite five days a week at our Redwood City office, 8:30 AM – 5:30 PM.

Requirements

  • Bachelor’s degree required with 1–3 years of related experience
  • Strong written and verbal communication skills and phone etiquette with a client focus
  • Excellent organizational skills and attention to detail
  • Proficiency with Microsoft Office including Word, Excel, Outlook, and Teams
  • Comfortable in a highly collaborative environment with the ability to work well with cross-functional teams
  • Ability to prioritize, problem-solve, and manage time effectively with minimal supervision
  • Positive and enthusiastic attitude with the ability to adapt to changing priorities
  • Mature, polished, and professional presence; punctual, dependable, and reliable
  • Ability to maintain confidentiality and interface with all levels of personnel
  • Candidates must be authorized to work in the United States without the need for current or future company sponsorship

Responsibilities

  • Welcome visitors and ensure guests are signed in, comfortable, and connected with their host
  • Provide professional, timely, courteous, and accurate service to employees and customers
  • Work with the Facilities team to provide a clean, safe, and productive office environment for all employees; support supplies, conference room reservations, service calls, shipping and receiving, on-site events, and ad-hoc needs of our satellite office locations
  • Submit and monitor tickets for facilities-related issues with day porter staff and building engineers
  • Serve as point of contact for onsite vendors and technicians, and coordinate with the onsite building engineering team
  • Serve as a resource to employees for facilities questions and feedback via Jira ticketing system
  • Oversee the Customer Experience Center: ensure a clean and welcoming environment at all times and support visitors and events in the space
  • Support new hire onboarding processes, including day-one laptop and badge distribution, office navigation, and general questions
  • Answer incoming phone calls promptly and professionally and route them to the appropriate parties at C3.ai
  • Coordinate domestic and international shipping and receiving
