About The Position

As a Front Desk Coordinator, you’ll manage the daily flow of patients and information across one or more clinic locations. You’ll handle check-in and check-out, appointment scheduling, phone support, and administrative coordination—ensuring physicians, clinical staff, and patients stay aligned throughout the day. This is a full-time, on-site role in a fast-paced, urban medical office environment.

Requirements

  • Associate’s Degree or higher
  • Minimum 1 year experience in reception or office coordination
  • Minimum 2 years experience in a medical office setting
  • Working knowledge of medical terminology
  • Strong organizational, communication, and customer service skills
  • Comfortable multitasking and adapting in a fast-paced environment
  • Ability to sit or stand for extended periods
  • Ability to communicate clearly in English
  • Flexibility to manage interruptions and shifting priorities
  • Ability to operate standard office equipment (computers, copier, fax, phone systems)
  • Strong interpersonal skills and team-oriented mindset
  • Maintain a neat, professional appearance and adhere to dress code
  • Wear identification while on duty
  • Uphold strict employee and patient confidentiality standards

Responsibilities

  • Greet patients warmly and professionally, both in person and by phone
  • Schedule, reschedule, and cancel appointments; accurately track no-shows and cancellations
  • Print and maintain daily provider schedules
  • Confirm next-day appointments and verify insurance information
  • Strategically accommodate walk-ins, urgent visits, and emergency add-ons
  • Create and mail new patient packets
  • Scan and maintain demographic and clinical documents within patient charts
  • Coordinate laboratory deliveries and pick-ups as needed
  • Process managed care and third-party forms
  • Provide back-up support to check-out and phone scheduling functions
  • Collect and post co-pays, self-pay amounts, and past-due balances
  • Reconcile daily encounter forms and financial batches; secure daily deposits
  • Complete requisitions, billing updates, and related transactions as needed
  • Maintain recall systems and conduct follow-up outreach
  • Support monthly appointment outreach (e.g., EPSDT, MCO enrollees)
  • Manage voicemail and place phones on night call per protocol
  • Fax medical records and maintain logs of requests
  • Monitor and restock front desk forms and supplies
