About the position

Rimini Street, Inc. is actively seeking a Front Desk Coordinator resident in our Las Vegas office. This role would greet visitors and delivery personnel and provide administrative, clerical, and facilities support to the G&A Business Functions of Rimini Street, Inc. You would be responsible for a variety of general office administrative and coordination of facilities functions focusing on the needs of our employees in our Las Vegas office. This is a dual role of administration and facilities. Flexibility, strong independent leadership skills, and a 'can do' attitude is a must. This is a full-time (Monday - Friday, 8am - 5pm), in-office position.

Responsibilities

  • Greet all guests and vendors.
  • Receive and sort mail (scan and send to the proper employees).
  • Accept and deliver packages.
  • Maintain the visitor's badges and record log for Security department.
  • Work with Security department to have evacuation drills for emergencies.
  • Manage onsite meeting logistics (internal and external) including food and beverages, presentation of meeting room.
  • Assist with the coordination, planning, and onsite execution of internal events of varying sizes for employees.
  • Main contact for any visitors to the Las Vegas office.
  • Collaborate with various staff and departments in preparing special projects.
  • Listen to the main line and forward messages to appropriate person.
  • Perform general administrative and clerical duties as needed and assigned.
  • Maintain a neat and organized lobby and reception area.
  • Light cleaning of the kitchen/office as needed throughout the office daily.
  • Use the building tenant portal to put in service requests and visitor requests.
  • Utilize Rimini Street security's system to activate permanent badges.
  • Act as the main point of contact between building management and Rimini Street's Executive team to coordinate maintenance and the distribution of information.
  • Restock kitchens (make sure drinks and snacks are replaced throughout the day).
  • Order snacks and drinks for the office.
  • Order office supplies and keep an inventory list of items.
  • Monitor office equipment such as main printer (check for paper, ink, and toner).
  • Ensure medicine cabinets are checked monthly and monitor AED machines.
  • Keep clean and organized storage rooms.
  • Clean conference rooms (wipe down all glass, line up conference chairs, sanitize conference table).
  • Liaison with property management on all building/site issues.
  • Communicate office building updates.
  • Oversee typical vendors including coffee/snacks, office supplies, confidential shredding, and plant maintenance.
  • Handle internal tickets for maintenance and other general requests for office repairs.
  • Oversee moving of furniture, installation of keyboard trays, whiteboards, hanging items, etc.
  • Set up guest work areas.
  • Liaison with IT to ensure office support needs are being met.

Requirements

  • High School degree or equivalent.
  • Preferably 2 years general clerical work experience in a corporate environment.
  • Proficient use of Microsoft Office and Outlook calendar.
