About The Position

The Front Desk Coordinator and Receptionist serves as the first point of contact for the County Executive's Office, providing professional front desk support, excellent customer service, and administrative assistance. The incumbent also supports human resources functions and assists with constituent services to ensure the efficient and professional operation of the office.

Requirements

  • Knowledge of Front desk and administrative support.
  • Knowledge of Human resources support.
  • Knowledge of Professional business office operations.
  • Skill in Proficiency in Microsoft Office Programs (Word, Excel, Outlook, and PowerPoint).
  • Ability to Maintain a personal and confidential relationship with the Chief Executive, staff, and outside organizations.
  • Ability to Be highly organized with strong communication and interpersonal skills with a professional demeanor.
  • Ability to Learn new programs, software, and tools.
  • Ability to Manage multiple tasks, prioritize effectively, and work in a fast-paced environment.
  • Ability to Demonstrate commitment to providing excellent service to the public, supporting staff, and advancing the mission of the County Executive's Office.
  • Ability to Be comfortable working independently and in a team environment.

Nice To Haves

  • Prior experience as a receptionist, administrative assistant, HR assistant, or in customer service.

Responsibilities

  • Greets and assists visitors, constituents, and dignitaries in a courteous and professional manner.
  • Answers and directs incoming phone calls, takes messages and provides general information.
  • Provides administrative support to County Executive staff, including filing, mail distribution, ordering and maintaining supplies.
  • Handles sensitive and confidential information with discretion.
  • Maintains a neat and organized office and reception area that reflects the professionalism of the County Executive's Office.
  • Supports special projects as assigned.
  • Serves as the first point of contact for constituent inquiries, complaints, and service requests.
  • Gathers and records details of constituent concerns, ensuring accurate documentation and timely follow-up.
  • Provides information on county programs, services, and resources.
  • Refers issues to appropriate departments and track progress to resolution.
  • Ensures that constituents receive courteous, responsive, and effective service.
  • Assists with HR administrative functions such as processing employee paperwork and maintaining personnel files.
  • Supports onboarding and orientation for new employees.
  • Helps coordinate staff trainings, wellness initiatives, and HR-related communications.
  • Maintains confidentiality in handling sensitive employee personnel information.
  • Serves as a resource for general HR inquiries and directs staff to the appropriate HR representative as needed.
