About The Position

Purpose: The Front Desk Associate is the first point of contact for patients and visitors. This role involves greeting patients and visitors, client check-in and check-out, collecting co-pays and deductibles, maintaining updated patient records, answering phones, providing administrative support, scheduling, and coordinating with providers and other staff. This position plays a crucial role in maintaining a welcoming and organized Front Office.

Requirements

  • H.S Diploma or equivalent is required.
  • Two years’ experience in an office environment is preferred.
  • Experience with health insurance billing procedures preferred.
  • Excellent analytical, organizational, interpersonal, oral, and written communication skills with attention to detail are required.
  • A valid driver’s license and personal vehicle or access to a reasonable alternative is preferred.

Responsibilities

  • Greeting patients and visitors while providing information and addressing initial inquiries
  • Appointment management which includes scheduling, rescheduling, managing appointment calendars, managing cancelation lists, and sending appointment reminders
  • Check in and check out of clients, including collection of co-pays, deductibles, back balances, client data, and insurance updates, providing any form needs to clients, and provider notification of arrival
  • Scanning of completed documentation into Charts
  • Answering and directing phone calls, taking messages, and communicating with staff and clients
  • Check clients in Medicaid system at regular intervals
  • Verification of Medicaid transportation and setup/documentation of interpreter services as needed
  • Follow front desk opening procedures including Incident-to-staff log, billing notes follow-up, paperwork setup, schedule setup, waitlist calls, and copay reminders
  • Process terminations including admin discharge form and all steps on checklist as needed
  • PCP letters as needed
  • Daily payment reconciliation
  • Annual paperwork including mailing, signature collection, tracking, and follow-up
  • Other duties as assigned
