About The Position

We are seeking a skilled and motivated Part Time Front Desk Administrator to oversee front office operations and serve as the first point of contact for employees, visitors, and vendors. In this role, you will create a professional, warm, and welcoming atmosphere both in person and over the phone. The ideal candidate is dependable, detail-oriented, highly organized, and able to manage multiple tasks with strong time management skills. Job Duties may change at any time due to business needs. Requirements

  • Pass pre-employment drug screen and consent to random, reasonable suspicion, and post-incident drug testing
  • Must sign confidentiality, non-disclosure, and non-solicit agreement
  • High School Diploma or Equivalent required
  • Minimum of 2 years of administrative support experience
  • Excellent knowledge of MS Office (Excel, Word, PowerPoint, SharePoint, Teams)
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • Have excellent communication skills, including verbal, writing, and listening
  • Detail-oriented and able to multitask
  • Must have critical thinking and problem-solving skills
  • Ability to maintain a positive, friendly attitude even under high pressure

Responsibilities

  • Answer and direct incoming phone calls to the appropriate staff or department
  • Welcome and assist visitors, employees, and vendors in a professional and friendly manner
  • Guide internal and external guests to the correct staff member, department, or appointment
  • Maintain office supply inventory by ordering and restocking as needed
  • Open, sort, and distribute daily mail and packages
  • Oversee the maintenance of office equipment, coordinating cleaning, repairs, or service as required
  • Prepare and manage all outgoing mail and packages
  • Handle filing, scanning, and faxing tasks to support office organization
  • Creating standard operating procedures for front desk task and processes
  • Keep the reception and front office area clean, organized, and welcoming
  • Coordinate scheduling for conference rooms and meeting spaces
  • Assist with company events as needed
  • Contribute to special projects and initiatives as assigned
  • Commit to continuous learning and professional growth to expand skills, responsibilities, and contributions to the company
