About The Position

The Food Bank Membership Coordinator is responsible for supporting the Member Services team in meeting the membership needs of the current member network and potential new members. This position takes the lead in following up on membership inquiries and ushering potential new members through the new member onboarding process. This position also creates and leads training, proactively engages members who have not been actively engaged with Foodlink, and provides administrative support to Member Services.

Requirements

  • High School diploma or equivalent combination of education and professional experience required.
  • 2+ years’ experience in customer services and administrative roles with similar functions including data entry.
  • Ability to communicate clearly, effectively, and with cultural competence (speak, read, and write proficiently) in English is required (and Spanish-preferred), including in-person, over the phone, and by email.
  • Proficiency in MS Office including Word, Excel, PowerPoint required.
  • Ability and willingness to learn new software programs, processes, and systems.
  • Exceptional organizational skills, strong attention to detail, and the ability to solve practical problems under time constraints and within established deadlines.
  • Fluency in English required. Knowledge of Spanish is helpful.
  • Valid NYS driver’s license and ability to travel within the 10-county service area as needed.

Nice To Haves

  • Associate or bachelor’s degree with concentration in business administration, communications, customer services or other job-related courses preferred.
  • Experience with email marketing platforms, such as Constant Contact, is preferred.

Responsibilities

  • Leads the execution of the new member on-boarding process from initial interest to first order, ensuring compliance with federal, state, local, and Feeding America requirements.
  • Conduct site visits to evaluate membership readiness and provide guidance on best operational practices.
  • Create accurate and complete new member records in Ceres and NYS MIS.
  • With the Member Engagement Manager, plan and lead the quarterly New Member Gathering.
  • Assess ordering activity of members and proactively engage members that are not ordering from Foodlink to determine if needs are being met by Foodlink.
  • Serve as an account representative for non-emergency members, including monitoring and ensuring electronic files are complete, accurate, and audit-ready at all times.
  • Lead regular Service Insights (client intake software) training for new and current members. Create monthly Service Insights e-newsletter and work closely with the Member Services Communication Coordinator to answer Service Insights questions and resolve issues promptly.
  • Serve as primary backup to Member Services Coordinator for the customer service phone line and email account.
  • Develop resources and trainings for Foodlink members.
  • Assist in maintaining the Member Handbook and accuracy of membership information on Foodlink website and Agency Portal.
  • Assist the Member Engagement Manager in the development of a Membership Assessment to determine how Foodlink can better meet members’ needs.
  • Organize dissemination of annual Benefits of Membership mailing.
  • Assist Member Engagement Manager in creation, dissemination and analysis of annual survey and monthly pulse surveys.
  • Other duties as assigned.
