The Fleet Operations Coordinator supports DOT compliance, maintenance compliance, and regulatory oversight, ensuring all vehicles, equipment, and drivers meet applicable federal, state, and local requirements. This role maintains driver qualification files, CDL documentation, safety records, inspection schedules, and preventive maintenance compliance in alignment with public-sector and infrastructure standards. Responsibilities include processing vehicle registrations, titles, permits, and insurance documentation, tracking required inspections and service intervals, and maintaining accurate preventive maintenance and repair records for heavy trucks, specialty equipment, and support vehicles. This position plays a critical role in sustaining operational readiness, regulatory compliance, and uninterrupted service delivery. FLEET OPERATIONS SUPPORT - ASSIST IN THE DAILY COORDINATION AND OVERSIGHT OF FLEET OPERATIONS TO ENSURE EFFICIENCY AND COMPLIANCE. Coordinate preventive maintenance schedules and monitor repair status to minimize downtime. Maintain accurate and up-to-date vehicle and equipment records, including service histories and compliance documentation. Support DOT compliance requirements across all assigned DOT numbers. Maintain and audit Driver Qualification (DQ) files in accordance with FMCSA regulations. Monitor CDL and non-CDL driver documentation to ensure licensing and certification compliance. Assist with regulatory audits, inspections, and preparation of required compliance documentation. Track maintenance compliance, including inspections, service intervals, and required reporting. Other duties as assigned as part of the overall responsibilities under fleet coordination and assistance. Safety Promote, execute and adhere to the company’s safety program. Attend daily and weekly safety meetings, on-site field safety briefings and inspections. Work in a safe, responsible manner to not intentionally or unintentionally injure oneself or endanger the wellbeing of others. Cooperate with safety personnel, supervisors, managers, and investigators to ensure proper procedures are carried out according to the company and customer’s safety policies. Identify and report safety violations to safety personnel, supervisors, managers. Support safety meetings, training sessions, and inspections. Reporting Perform accurate timecard updates daily and sign timecards weekly as required to support reporting and payroll activities. Perform job-related reporting requirements per SKT corporate policies and practices. Driving Operate a company vehicle in accordance with local laws/regulations. Operate the vehicle in safe and courteous manner. Report maintenance requirements and/or damage in a timely manner. Teamwork Work closely with other company personnel in a collaborative environment to meet organizational and project deadlines, outcomes, metrics, and mission objectives. Participate as a vital crew/team member and contribute towards the success of the project and the organization. Complete daily reports and timecards.
