Position Overview The Fleet Manager oversees the company’s vehicle fleet within out MD/VA locations (totaling roughly 200+ vehicles) to ensure all units are safe, compliant, fully operational, and efficiently supporting company operations. This role involves coordinating maintenance, managing vehicle performance, ensuring proper inventory stocking, and communicating with drivers, managers, dispatch, and internal teams. The Fleet Manager plays a key role in minimizing downtime, reducing costs, and maintaining a reliable fleet that supports day-to-day business operations.

Requirements

  • Experience in fleet management, logistics, automotive operations, or related field.
  • Strong communication and coordination abilities.
  • Ability to stay organized, manage multiple priorities, and respond quickly to emergencies.
  • Basic understanding of vehicle maintenance and safety standards.
  • Familiarity with fleet-related software (Enterprise Fleet, ServiceTitan, Samsara) preferred.

Nice To Haves

  • Experience working with a high-volume service fleet (100+ vehicles).
  • Knowledge of trades industry operations (HVAC, plumbing, electrical, drains).
  • Strong problem-solving and analytical skills.

Responsibilities

  • Ensure all vehicles remain up to date on maintenance, including oil changes, inspections, repairs, and state safety requirements. - There are roughly 200 vehicles within our MD and VA branches.
  • Track and complete vehicle registrations, inspections, and compliance documentation.
  • Coordinate with preferred service centers (VA Autocare, Jiffy Lube, AAA).
  • Communicate with drivers, direct managers, and dispatch regarding vehicle downtime or repair needs.
  • Be available for emergency situations (accidents, breakdowns) and follow company safety protocols.
  • Conduct driving tests and ensure new technicians receive properly stocked and prepared vehicles.
  • Promote and enforce safe driving practices.
  • Respond to accidents, gather information, ensure driver safety, contact police, arrange towing, and complete follow-up documentation.
  • Review accident footage and investigate incidents in coordination with HR.
  • Monitor GPS, cameras, and tracking systems to ensure continuous functionality.
  • Use Enterprise Fleet, ServiceTitan, and Samsara for: o Truck status & maintenance tracking o Citations, mileage, registrations o Truck locating o Inventory downloads o Safety reporting o Accident footage review
  • Ensure all trucks maintain proper stock levels and required equipment.
  • Perform routine truck counts to ensure inventory accuracy aligns with ServiceTitan replenishment.
  • Communicate and collaborate with key internal partners including: Plumbing, Drains, Electrical teams HVAC, Ducts, Install teams Parts Department Warehouse Accounting HR
  • Track upcoming deadlines such as monthly safety inspections and future fleet orders.
  • Proactively identify and address recurring issues (battery failures in winter, dead key fobs, etc.).
  • Maintain organized records of maintenance, incidents, costs, and vehicle performance.
